Job Summary:
The Events Support Specialist provides high-level administrative, clerical, and operational support to the Events Department. This role ensures smooth execution of departmental tasks, including purchase orders, contracts, budget tracking, vendor communications, and scheduling. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Major Duties:
- Manage and process purchase orders, contracts, and invoices in compliance with City policies.
- Assist with budget monitoring and financial tracking for departmental expenditure.
- Serve as the first point of contact for citizen, vendor, and sponsor inquiries, ensuring professional and timely communication.
- Maintain department records, files, and databases, both digital and physical.
- Support event planning logistics by scheduling meetings, coordinating calendars, and preparing supporting materials.
- Draft, proofread, and distribute correspondence, memos, reports, and presentations.
- Assist with tracking sponsorship commitments, vendor agreements, and deliverables.
- Provide on-site administrative support during events, including ticketing, check-in, and volunteer coordination as needed.
- Perform other related duties assigned to support the Events Department’s mission.
