Job Title: Special Events Coordinator

SUMMARY: Under basic supervision of assigned director, provides a variety of technical, administrative and customer service activities required to schedule, lease and market public and private events for the City of Somerton, co-sponsored events, and assist monitoring cultural center programs/events.

Essential duties and responsibilities may include, but are not limited to, the following:
· Provides a variety of technical, administrative and customer service activities required to schedule, lease and market public and private events at the City of Somerton, Cultural Center, and other pertaining facilities; performs work within scope of authority and training; duties may vary according to job assignment and individual skills.
· Promotes and markets the City of Somerton for special events, recreation programs, concerts, conventions, trade shows, sports events, and special entertainment programs.
· Works positively and collaboratively with all team members to ensure successful events and programs.
· Develops relationships with area stakeholders to facilitate and generate sponsorships and financial and in-kind support of City events and programs.
· Meets with clients, identifies available resources and services, assists in event planning, and explains City policies and procedures; identifies and resolves communication and operational issues, and collects payments and reconciles customer accounts.
· Provides customer service, information and assistance to customers and potential clients; responds to requests for information within the scope of authority and training; assists customers with program and facility information, contracts, event plans, and other needs.
· Coordinates special events, programs, and event calendars; assists with the development of marketing and advertising materials; assists in developing, distributing, acquiring sponsorships, and reconciling event tickets.
· Promotes Cultural Center activities & events at Park programs and recreational events, and answers questions on the use of facilities, coordinates work with public and private sector organizations, community groups, business and service clubs, and regional government agencies.
· Maintains records of revenue and expenditures and collects data for work activity reports.
· Coordinates and supervises cash handling for assigned events.
· Provides effective communications and coordination with Parks Supervisor and Operations Leaders.
· Supports the relationship between the City of Somerton and the public by demonstrating courteous and cooperative behavior when interacting with citizens, visitors, and City staff; promotes the City goals and priorities and complies with all City policies and procedures.
· Provides debriefings, reports, recommendations, and other presentations to the City Council for all events as required
· Maintains absolute confidentiality of work-related issues and City information; performs other duties as required or assigned.
MINIMUM QUALIFICATIONS
Education, Training and Experience Guidelines
· Associate degree in Business or Public Administration, Parks & Recreation Management, or related field.
· Two (2) years’ experience in hospitality, event planning, or entertainment industry experience OR an equivalent combination of education, training, and experience.
Knowledge of:
· City policies and procedures.
· State and Federal laws governing the conduct and safety of municipal recreational facilities.
· Principles and practices for planning and managing recreation facilities and programs. Methods and techniques for developing marketing, advertising, and public information programs.
· Purpose; use and benefits of municipal recreation and entertainment facilities.
· Effective customer service methods and techniques.
Skill in:
· Promoting public arts, marketing, acquiring sponsorships/grants, culture, and recreation programs.
· Identifying customer needs and solving communications and public relations issues.
· Preparing advertising and creative media information for diverse audiences.
· Coordinating municipal facility programs and event planning.
· Assessing and prioritizing multiple tasks, projects and demands.
· Dealing tactfully and courteously with customers and providing effective and friendly customer service.
· Operating a personal computer utilizing standard and specialized software. Establishing and maintaining effective working relationships with co-workers and the public.
· Communicating effectively verbally and in writing, with fluency in English and Spanish.
· Speaking to the media including newspaper, radio, television, and web-based appearances.
· Maintains a professional appearance.
LICENSE AND CERTIFICATION REQUIREMENTS
· A valid Arizona State Driver's License is required.
· Food Handler's permit/County Health Department Certificate within two (2) weeks of hire and an
Arizona liquor law Title 4 may be required.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a standard office environment and public facilities. May occasionally be required to bend, reach, stoop, and lift objects.
