What You'll Do
Accounting Aide is an entry level clerical classification with primary responsibility for the collection, input, verification and filing of accounting-related information. As an Accounting Aide, you'll handle information of a highly sensitive and confidential nature and after training and orientation, exercise some independent judgment when providing information to employees.

Examples include: preparing, editing for accuracy and completing vendor payments according to the General Accounting Standards Board (GASB); matching and coding of documents; computing sales tax on out-of-State vendors to be reported to the State Board of Equalization.

What You'll Bring
The ideal candidate is an organized, accurate, detail-oriented self-starter who works well with minimal supervision, and is experienced with the use of standard office automation, proficiently performing data entry, word processing, calendaring and messaging, Internet research, and developing spreadsheet reports. The ideal candidate will have demonstrated research skills in identifying and correcting billing errors, errors on 1099-B notices to the IRS, incomplete or missing paperwork, and other problems, and will be able to work closely with outside auditors.

Examples of Duties and Responsibilities


  • According to established procedures, enter appropriate codes and information from source documents into a computer terminal;
  • check documents for missing or incomplete information and send back to appropriate departments for correction;
  • track status of documents sent back for correction and update records accordingly;
  • run reports from data entered from source documents and reconcile and correct any discrepancies;
  • sort and file documents and records alphabetically, numerically, or according to other predetermined methods and classifications;
  • prepare documents such as boot vouchers, denim vouchers, file labels, or other materials;
  • proofread documents for accuracy
  • provide routine information within specified policies and procedures in person or over the telephone;
  • update manuals and other documents

Required Qualifications

Knowledge of: Modern office procedures and practices; correct punctuation, spelling, and grammatical usage; filing, indexing, and cross-referencing methods; basic business arithmetic; and modern office equipment including operation of computer terminals.

Ability to: Perform routine and repetitive clerical duties; quickly learn the operating principles of data entry equipment and perform with speed and accuracy; understand and follow oral and written instructions; operate standard and modern office equipment; make simple arithmetical calculations; and establish and maintain cooperative relationships with others.

Experience and Education: Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Experience - Sufficient clerical experience in an office setting which would demonstrate possession of the knowledge and abilities listed above. Education - Equivalent to completion of the twelfth grade. Completion of clerical or business coursework may be substituted for the required experience.

The Selection Process
The first step in the selection process will consist of a review of each applicant's employment application and supplemental questionnaire for minimum qualifications.

Depending on the number and breadth of experience of the of applicants, the next step may consist of an online skills examination and/or a thorough evaluation of training and experience as presented on the applications and responses to supplemental questions. Applicants scoring highest in this process will be invited to online interviews.
