The Firefighter Admin Specialist provides both comprehensive administrative and technical support to the Fire Department while also actively participating in emergency response operations. The Firefighter Admin Specialist is responsible for a variety of duties including record management, scheduling, public interaction, reporting, recruitment and retention programs. This position will also respond to emergency calls during office hours as well as limited after-hours callouts as a trained firefighter.

This work requires frequent lifting and/or moving up to 25 pounds of force and occasionally lift and/or move up to 125 pounds of force; work regularly requires lifting and frequently standing, walking, sitting, speaking or hearing, using hands to finger, handle or feel, climbing or balancing, stooping, kneeling, crouching or crawling, reaching with hands and arms, tasting or smelling, pushing or pulling and repetitive motions.
Sensory Requirements
Work has standard vision requirements; vocal communication is required for conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound.
Sensory Utilization
Work requires preparing and analyzing written or computer data, operating machines, operating motor vehicles or equipment and tools and observing general surroundings and activities.
Environmental Conditions
Regularly requires work in outside weather condition. Work occasionally requires wet, humid conditions (non-weather), working near moving mechanical parts, working in high, precarious places, exposure to fumes or airborne particles, exposure to toxic or caustic chemicals, exposure to extreme cold (non-weather), exposure to extreme heat (non-weather), exposure to the risk of electrical shock, working with explosives, exposure to vibration, wearing a self-contained breathing apparatus and exposure to bloodborne pathogens and may be required to wear specialized personal protective equipment; work is generally in a moderately noisy location (e.g. business office, light traffic).

- Provides administrative support to the Fire Chief and other department staff.
- Responds to emergency calls for service including, but not limited to, fire suppression, hazardous materials incidents, rescue operations, and emergency medical calls as a trained firefighter.
- Manages the scheduling and payroll reporting for the Paid-on Call Firefighters.
- Manages department records including call percent reports, training records and fire incident reports ensuring accuracy, confidentiality, and compliance with local, state, and federal regulations.
- Coordinates and schedules meetings, appointments and events for the Fire Department.
- Assists the public, other departments, and outside agencies by phone, email, and in person; receives and responds to inquiries, answers questions, and conducts tours.
- Assists with recruiting and retention programs for the department.
- Operates and maintains fire apparatus and equipment in a safe and proficient manner during emergency incidents and training.
- Participates in ongoing fire, rescue, and emergency medical training as required by department policy and standard operating guidelines to maintain certifications and readiness.
- Performs routine station duties as assigned, which may include apparatus checks, station maintenance, and inventory management of emergency response supplies.
- Leads and supervises a team of firefighters during emergency responses with a fireground rank of lieutenant.
- Completes fire reports and other administrative forms as required.
- Participates in community outreach and fire prevention activities.
- Act as a liaison between firefighters and command staff.
- Provides mentorship of coworkers and peers in addition to subordinates.
- Presents programs to the public on safety, medical, and fire prevention issues.
- Performs all essential functions of a firefighter.
- Other duties as assigned.
Knowledge, Skills and Abilities
- Proficiency in Microsoft Word, Excel, Outlook.
- Strong written and verbal communications skills.
- Comfortable speaking in front of groups or conducting tours.
- Ability to work independently, prioritize tasks, and establish and maintain positive working relationships with all co-workers, city staff, the public and other agency personnel.
- Working knowledge of department policies and procedures.
- Supervise and direct the work of others.
- Perform strenuous tasks during emergencies, training, or maintenance activities for prolonged periods of time under conditions of extreme height, intense heat, cold, smoke, or confined areas.
- Function, work and communicate effectively under emergencies and stressful situations
- Follow verbal and written instructions.
Minimum Qualifications
- Must be at least 18 years of age
- Associates/Technical degree in a related field and one to three years of experience in office management or business administrative support duties OR equivalent combination of education and experience.
- Valid Driver’s License
- Must be eligible to be a licensed Firefighter by the MBFTE (Minnesota Board of Firefighter Training and Education) at the time of hire.
- Three years of fire service experience or equivalent combination of fire service and leadership experience.
- Must be EMT certified or currently enrolled in course to obtain certification within 6 months of hire.
- MN State certification in Fire Instructor 1 or must obtain within 12 months of appt.
- Bachelor’s degree in a related field
- Captain level or higher Fire Service experience
- Certifications in: Blue Card and Incident Command
