Summary
The City of Ravenna’s Parks and Recreation Department is seeking an energetic, detail-oriented Event & Administrative Coordinator to support both event operations and daily administrative functions within the Parks and Recreation Department. This is a Part-Time position working up to 28 hours per week. This position reports directly to the Parks and Recreation Director and will plan, organize, and execute a wide range of community events and facility rentals while also providing essential office and administrative support. From festivals and community gatherings to payroll assistance and reservation management, this role helps keep our department running smoothly and our community engaged.
ESSENTIAL JOB FUNCTIONS & OTHER IMPORTANT DUTIES
Event Coordination & Facility Rentals
· Plan, coordinate, and manage community events and facility rentals from start to finish.
· Serve as an on-site point of contact during events to ensure quality and customer satisfaction.
· Work with vendors, sponsors, and staff to manage logistics, setup, and tear-down.
· Oversee event budgets, track expenses, and assist with post-event reporting.
· Promote events through marketing, social media sites, and outreach efforts.
· Maintain communication with the Parks and Recreation Director and other team members.
· Work flexible hours, including evenings, weekends, and holidays, as needed.
· Carries out additional responsibilities as directed by the Parks and Recreation Director
Administrative & Office Support
· Assist with administrative tasks including payroll processing, and timesheet collection.
· Maintain departmental reports and event outcome reports.
· Manage facility reservations, calendar scheduling, and customer inquiries.
· Assist with processing permits, forms, and departmental documentation.
· Provide general office support such as answering phones, organizing files, handling correspondence, and maintaining department records.
· Support purchasing processes by collecting quotes, submitting purchase requests, and tracking expenditures.
· Assist with maintaining updated policies and procedures.
· Carries out additional responsibilities as directed by the Parks and Recreation Director
Qualifications
· Associate’s degree in Hospitality Management, Recreation Management, Business Administration, or a related field (or equivalent combination of education and experience).
· Minimum of 1 year of experience in event management, recreation programming, administrative support, or hospitality.
· Must be 18 years or older with a valid Ohio driver’s license.
· Strong organizational, communication, and problem-solving skills.
· Proficient in Microsoft Office and comfortable using scheduling, reservation, and event management tools.
· Ability to work independently and as part of a team.
· Professional, customer-service-oriented demeanor.
