The Temp Community Services Advisory Commission and Grant Liaison position is a temporary, part-time, non-exempt, clerical position limited to not more than 1300 hours annually.  The incumbent will provide basic clerical and administrative support to Community Services Advisory Commission (CSAC) and other grants as assigned by the Department Director.

This job description is an overview and is intended to describe the general nature and level of work being performed.  It is not intended to be an exhaustive list of all the functions and tasks required of the position.
  • Reviews funding applications to ensure they are complete, accurate, and ready for commission evaluation
  • Prepares and organizes materials and information packets for CSAC members in advance of each meeting
  • Takes detailed notes and meeting minutes during CSAC meetings and distributes finalized minutes to committee members and staff
  • Coordinates and organizes meetings, including scheduling, agenda preparation, and logistical arrangements which may include driving to multiple locations
  • Assists in facilitating CSAC meetings
  • Supports the onboarding of new CSAC members by providing orientation materials and guidance on committee procedures
  • Creates presentation materials for recommendations and updates to the Board of County Commissioners and City Council as needed
  • Monitors grant-funded organizations to ensure compliance with program requirements and contract expectations
  • Reviews quarterly reports submitted by grant recipients to track progress and performance
  • Processes payment requests from grant recipients in accordance with City and County procedures
  • Performs other duties as assigned
  • Performs grantee monitoring which may require in-person visits

PHYSICAL REQUIREMENTS:
The physical standards an employee must meet in order to perform the essential job duties with or without a reasonable accommodation include, but are not limited to:
  • Performing activities requiring a full range of body movement including driving, bending, stooping, pushing, pulling, carrying, walking, and standing
  • Lifting, carrying, pulling and/or pushing office supplies and equipment weighing up to 25 lbs.
  • Sitting for prolonged periods of time with occasional standing and walking to locate/retrieve office materials,
  • Hand/eye coordination and repetitive coordination of hand/wrist movement for extended periods of operation of office equipment
  • Adequate vision to safely operate office equipment, seeing miniscule details on audio/visual materials, and reading electronic and paper documents
  • Hear and verbally communicate to maintain effective interpersonal communications with employees and citizens
  • Knowledge of general clerical methods such as making copies and scanning documents
  • Ability to type accurately at a moderate speed using a computer
  • Knowledge of basic calculations to process transactions, calculate subtotals, and balance ledgers
  • Knowledge of all Microsoft Office applications with a focus on Outlook, Word, PowerPoint and Excel
  • Ability to work within a diverse environment while displaying a positive and professional demeanor
  • Ability to perform multiple diverse tasks in an organized fashion
  • Ability to prioritize work and complete assignments in a timely manner
  • Ability to learn and maintain necessary skill set
  • Ability to work up to 25 hours per week to complete time-sensitive tasks and assignments
  • Skill and ability to communicate effectively both verbally and in writing
  • Ability to work independently with minimal supervision
  • Ability to display attention to detail
  • Ability to maintain high level of confidentiality and integrity
  • Ability to work successfully with and provide excellent customer service to supervisors, city employees, the public, and other agencies and organizations
  • Must have excellent punctuality and attendance
In addition to the knowledge, skills, and abilities listed above, the candidate is required to have the following by date of application:
  • A high school diploma or GED
  • Two (2) years of prior clerical experience in a professional environment (experience with the grants or grant management preferred)
  • Must be proficient with Microsoft Office applications with a focus on Outlook, Word, PowerPoint, and Excelto include Excel tables, graphs, and basic formulas
  • Demonstrated experience applying data analysis principles and techniques, including the ability to interpret, validate, and summarize datasets.
  • A valid driver’s license at the time of application, and a valid Colorado driver’s license within 30 days of employment
    • License restrictions that may hinder your ability to drive on City business, such as an interlock, will be cause for disqualification
    • During the course of employment, a valid license must be maintained, and the employee must notify the City immediately upon changes to the status of their license

PREFERRED QUALIFICATION
  • Familiarity with Roberts Rules of Order is preferred
  • Grant Management experience preferred

SPECIAL REQUIREMENTS:
Candidates must be willing to submit to and pass the following post-conditional job offer requirements: 
  • Pre-employment drug screen

Due to Federal and State Criminal Justice System access requirements, classifications that access and maintain criminal justice information may also be required, as a condition of employment, to not have been convicted of and/or have pending charges of a felony or misdemeanor crime that would deny or otherwise restrict access to criminal justice information. This requirement applies to all existing City employees as well as external candidates seeking to fill positions that meet the given criteria.
