SALARY: $3,435 - $4,191/month


DEFINITION: Under administrative direction, performs a variety of complex secretarial and

administrative support tasks for the Police Department. This role requires
specialized technical knowledge, initiative, independent judgment, and decision-
making to support the Chief of Police and Command staff effectively.


DISTINGUISHING
CHARACTERISTICS: This position reports directly to the Chief of Police and is characterized by

confidential, responsible tasks requiring a high degree of independence and
discretion. The role involves handling sensitive matters, such as incoming
communications, visitor inquiries, citizen complaints, and other concerns, with tact,
diplomacy, and political acumen. This position differs from other clerical roles due to
its emphasis on supporting executive-level responsibilities and maintaining
confidentiality.


REPRESENTATIVE
DUTIES: 1. Provide comprehensive secretarial support to the Chief of Police and Assistant

Chief of Police.

2. Screen calls, visitors, and mail; compose routine correspondence in response to
requests for information from the Office of Chief of Police.

3. Maintain departmental calendars, coordinate schedules, and arrange travel as
needed.

4. Prepare agendas and record minutes for citizen, advisory, and administrative
meetings.

5. Initiate and maintain confidential police files and records.

6. Draft letters, memorandums, and other written communications on routine
administrative police matters.

7. Enters data to record and retrieve police department information, prepare
analytical reports, and produce correspondence.

8. Answer inquiries from staff, City staff, the public regarding operations and
policies.

9. Maintains records related to departmental activities.


10. Operate various office equipment, computers, tablets, calculators, and copiers.

11. Greet and assist the public, providing information about department policies and
procedures.

12. Create, update, and maintain police filing systems and electronic platforms.

13. Investigate administrative concerns or problems and recommend appropriate
actions to the Office of the Chief.

14. Assist in departmental budgets and financial reports.

15. Schedule meetings and appointments for the Chief of Police.

16. Handle inquiries and complaints requiring sound judgment and discretion.

17. Oversee records retention and historical files of police personnel.

18. Support departmental staff with special projects, research, and event
coordination.


QUALIFICATIONS: Education and/or Experience:

Must have earned a high school diploma or equivalent, supplemented by course
work or special training in secretarial science, office practices, or a related field. A
college degree in related field is preferred.

Two years of experience in general clerical work including the application of policies
and procedures, composing of correspondence, or routine reports or any
combination of training and experience that provides the desired knowledge and

abilities.

Knowledge of:
Principles and practices of office management; English usage, spelling, grammar,
and punctuation; modern office methods, procedures, computer equipment, and
computer software; pertinent City functions, policies, rules and regulations;
principles and methods of business letter and report writing; principles and practices
of bookkeeping; organization, functions, and procedures of the Police Department


Ability to:
Understand the organization and operations of the police department and related
agencies; perform responsible secretarial work requiring independent judgment and
accuracy; prioritize and manage multiple tasks effectively; interpret and explain
department policies and procedures; compose general correspondence and reports;
maintain confidentiality of sensitive information; analyze problems and recommend
effective solutions; establish and maintain complex filing systems; operate modern
office equipment and use computer applications proficiently; communicate
effectively, both orally and in writing; build and maintain strong working relationships
with diverse groups, including City officials, staff, and the public.


REQUIREMENTS: Must be at least 18 years of age.

Ability to type 40 wpm. A certified typing certificate with a minimum operation

rate of 40 wpm must be submitted with your application. Certificate must be
obtained from an accredited college, trade school, or professional temporary
job placement agency and be validated within the last six months. Certificates
obtained online will not be accepted.


Possession of or ability to obtain a valid California Driver’s License.


Candidates seeking a position in the police department must be able to pass
an extensive background check.

SELECTION
PROCESS: Screening will consist of a competitive assessment of relevant education,

certification, license, training and work experience to be followed by an exam and/or
interview before an Oral Board to determine the most qualified candidates.
Applicants meeting the minimum qualifications are not guaranteed
advancement to an interview and the decision of the screening committee is
final. Those candidates who are determined eligible for appointment to the position
will be placed on the City’s Certified Eligibility List. Applicants will receive electronic
written notification regarding the results of all phases of the recruitment process up
to the establishment of the Eligibility List, if applicable. The City reserves the right to
alter the testing process, as needed, without notice.
