About This Position
The Neighborhood Services Department (NSD) is dedicated to making Phoenix a community of desirable neighborhoods and helping residents access critical services and resources. To achieve these goals, NSD administers a number of programs that preserve, enhance, and engage communities across the City.
The Neighborhood Services Department has a vacancy for a Secretary III position. This position in the Director's Office supports the Administrative Secretary as well as NSD's Executive Level Staff. Primary duties involve a variety of support functions for all levels of staff and includes the following duties maintaining calendar activity; drafting, finalizing, and distributing correspondence; preparing agendas and taking minutes at meetings; ordering supplies; providing customer service in person and over the phone.
Considerable judgment and independent action are exercised in establishing or adapting work procedures to new situations. Demonstrates superior customer service, integrity, commitment to innovation, efficiency, and fiscally responsible activity, and maintains regular and reliable attendance.
The work schedule is Monday through Friday, and the hours may vary between 7:00 AM to 5:00 PM.
IDEAL CANDIDATE
Pay Range: $21.02 to $29.58 per hour.
Hiring Range: $21.02 to $26.83 per hour.

IDEAL CANDIDATE
- Excellent customer service skills.
- Strong written and oral communication
- Proficiency using advanced Microsoft Office functions in Word, Excel, and PowerPoint.
- Proficiency using word processing, spreadsheet, databases, and presentation software.
- Ability to handle multiple and conflicting work priorities.
- Ability to learn quickly, multitask well, prioritize effectively, and support Middle Managers and/or Executive level staff with effective communication skills.
- High proficiency using on-line meeting software (WebEX, Zoom, and Microsoft Teams) and using advanced Microsoft Office functions in Word, Excel, PowerPoint, SAP, and Adobe Pro is preferred.
Pay Range: $21.02 to $29.58 per hour.
Hiring Range: $21.02 to $26.83 per hour.

Minimum Qualifications
- Three years of progressively responsible secretarial experience.
- Including training in typing and the use of modern office software and equipment.
- Other combinations of experience and education which meet the minimum requirements may be substituted.

The minimum qualifications listed above, plus:
- Two or more years of experience with meeting coordination and scheduling meetings.
- Three or more years of experience with customer service with the public and inter-governmental agencies.
- Experience with creating reports.
- Experience handling citizen complaints.
- Experience with Outlook scheduling/ calendaring.
- Experience providing support to staff or volunteers.
- Experience related to writing reports and documents.
- Experience using financial procurement systems, such as SAP/SRM.
- Experience using on-line meeting software (WebEX, Zoom, and Teams).
- Experience working in conjunction with other city departments, divisions, or agencies.
- Experience with travel arranging and processing travel reimbursements in systems such as SAP and Concur.
