About This Position

The Office of the Police Chief is seeking a Management Assistant II (MAII) to support high level legislative, administrative, and executive functions for the Phoenix Police Department. This position requires strong written and verbal communication skills, exceptional organization, sound judgment, and the ability to manage multiple complex priorities in a fast paced environment with minimal supervision. The MAII must be customer service oriented, highly motivated, and capable of meeting tight deadlines while maintaining accuracy and attention to detail.

Responsibilities Include And Are Not Limited To

Legistar & Council Process Management

  • Manage full lifecycle of police-related Council Reports in Legistar, including drafting, formatting, routing, and documentation.
  • Maintain electronic records, provide staff training/support, and liaise with the City Clerk's Office on workflows, templates, and system updates.
  • Prepare and distribute weekly summaries of City Council agendas and archive related materials.

PSJ Subcommittee & Reporting Support

  • Coordinate PSJ Subcommittee deadlines, draft/edit materials, prepare presentations and packets, and ensure accurate Legistar entry.
  • Prepare the weekly Project Control Report and track all current/upcoming council items.

Citywide Planning & Special Initiatives

  • Support benchmarking, sustainability, General Plan updates, program inventory, and annual departmental submissions.
  • Assist with federal earmark submissions and provide logistical support for government relations travel.
  • Manage assigned projects and special initiatives.

Executive Administrative Support

  • Draft executive communications, talking points, memos, and letters; prepare meeting materials; maintain org charts and executive biographies.
  • Ensure version control, use standardized templates, validate personnel data, and reference prior materials for consistency.
  • Supervise assigned personnel and ensure seamless coverage of administrative functions

This position is scheduled in office five days per week at 100 W Washington St Phoenix, AZ 85003.

SALARY

Pay Range: $72,675 to $118,352 annually.

Hiring Range: $72,675 to $107,348 annually.

Minimum Qualifications

  • Three years of professional-level experience in research, finance or public administration
  • Master's degree in business or public administration, or a related field
  • Other combinations of experience and education that meet the minimum requirements may be substituted.
  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Positions in the Police Department must meet the background standards that are appropriate to non-sworn positions. The general factors for disqualification are listed here.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

Preferred Qualifications

The minimum qualifications listed above, plus experience:

  • Two or more years supervising staff.
  • Managing project deliverables, projects, and programs.
  • Writing original content and reviewing and revising policies or executive level documents.
  • Using research methods, data analysis, and benchmarking for decision making.
  • Conducting independent research and making recommendations on complex legislative or administrative issues.
  • Serving as a liaison across multiple internal and external teams, partners, and stakeholders.
  • Supporting executive staff.
