ESSENTIAL JOB FUNCTIONS
- Oversees multiple functions of a large department/division which may include receiving and posting payments, customer service, accounts payable, purchasing, accounts receivable, petty cash, or other assigned area.
- Receives and responds to requests from the public, external agencies, and internal City department/divisions.
- Drafts correspondence and creates, maintains, and revises reports to include spreadsheets, databases, contracts, bid documents, and other documents to help track, monitor, and oversee information and data associated with assigned functional units.
- Oversees and coordinates employee related functions/processes to include training, travel, p-cards, payroll, salary incentive programs, and/or professional certifications associated with department/division and related staff as well as staff on-boarding, transfer, promotion, and separation documentation.
- Oversees, monitors, and coordinates contracts and services provided to departments/divisions through outside vendors/agencies to ensure service standards are met and are in compliance with contractual agreements.
- Coordinates and assists in the development, monitoring, and forecasting of departmental/divisional budgetary needs as necessary to assists Directors/Administrators in maintaining a balanced budget as well as helping to compile data used to help identify future departmental/divisional budgetary needs.
- Assist in the tracking, billing, and monitoring of projects for assigned department/division which may include projects spanning multiple City departments/divisions as well as multiple financial cost centers and funding sources.
- Answers phone calls and emails, greets and directs office visitors to designated meeting areas, and builds spreadsheets or presentations for leadership staff.
- Coordinates and assists in the development, monitoring, and forecasting of departmental/divisional budgetary needs as necessary to assists Directors/Administrators in maintaining a balanced budget as well as helping to compile data used to help identify future departmental/divisional budgetary needs.
- Assists with budget preparation to include processing budget transfers.
- Oversees and coordinates work completed and compliance of vendors as related to bid process, service contracts, and agreements.
- Orders supplies, tracks inventory, and maintains files and reports associated with daily operation of assigned functional area(s).
- Communicates with Organization's Management/Directors, Vendors, outside entities regarding Facilities and Fleet's administrative and/or financial needs.
- Performs other related duties as assigned.

- Knowledge of bookkeeping, accounting guidelines, standard office procedures, terminology, and best practices to include detailed application of defined applied industry methodologies as needed to oversee and complete work of assigned functional areas.
- Knowledge of Federal, State, and City laws, rules, regulations, and policies as needed to ensure compliance with established mandates associated with assigned functional area(s).
- Knowledge of techniques and best practices associated with records, file, and database management as applied to multiple projects, functions, and department/division budgetary cost centers.
- Ability to recognize if/when a decision can be made or if it should be escalated to a higher-level manager for input.
- Ability to make sound judgements and recommendations based on objective observations and analysis as needed to effectively oversee and coordinate assigned functional areas.
- Ability to organize and interpret data and write reports in various formats such as spreadsheets, charts, PowerPoint presentations, and other instruments as needed to present information related to assigned functional area(s).
- Ability to perform complex mathematical computations with speed and accuracy.
- Ability to be detailed in completion of job tasks as needed to ensure the integrity of information and allow for accurate data to be provided to management for consideration and effective decision making.
- Ability to establish and maintain effective working relationships with associates and the general public.
