THE ROLE:
As an IT Administrative Assistant II, you will play a critical role in providing frontline technical support and maintaining administrative systems to ensure smooth IT operations across City departments.
The ideal candidate for this role will have 3 years of administrative experience, preferably in a technical environment, strong organizational and customer service skills, and the ability to foster a culture based on integrity and respect. You will collaborate with the IT department, vendors, and other City departments to support helpdesk functions, IT asset management, procurement, and department-wide coordination. A background check and verification of qualifications are required upon acceptance of a conditional offer.
What You'll Be Doing
You'll play a vital dual role in this position—providing hands-on technical support and ensuring smooth administrative operations within the department.
IT & Technical Support Functions
- Be the first point of contact for internal staff needing IT assistance; route and monitor helpdesk tickets.
- Support new hire onboarding by provisioning devices, coordinating logins, and managing ID cards.
- Track, manage, and maintain IT inventory, including hardware and software licenses.
- Coordinate mobile device assignments and maintain cellular accounts.
- Assist with system data entry and basic reporting for IT-related metrics and cost allocations.
Administrative & Clerical Support
- Process IT department purchase orders, invoices, and petty cash requests; assist with budget tracking and expenditure logs.
- Compose and edit correspondence, reports, contracts, and records.
- Maintain detailed, auditable records in both manual and electronic formats.
- Maintain department calendars, schedule appointments, and arrange travel and training logistics.
- Facilitate meetings, prepare agendas, and support coordination for inter-departmental communications.
- Screen calls, mail, and visitors; provide general and department-specific information.
- Support project tracking and documentation to ensure compliance with state and city requirements.
- Other duties as assigned.
REQUIRED MINIMUM QUALIFICATIONS:(Any equivalent combination of education and experience, which provides the applicant with the knowledge, skills and abilities required to perform the job.):
- High school diploma or GED
- Three (3) years of administrative assistant or secretarial experience (preferably in an IT or technical setting)
- Strong communication and organizational skills
- Proficiency with Microsoft Office Suite
- Valid Washington State Driver License
PREFERRED QUALIFICATIONS:
- Experience with IT asset tracking, procurement processes, or helpdesk support
- Familiarity with helpdesk ticketing or inventory systems
- IT certifications such as CompTIA A or ITIL Foundation
- Previous municipal experience
- Bilingual (English/Spanish)

- In addition to DRS, employees may also contribute to a 457 Deferred Compensation Plan that offers a pre-tax contribution of 4% from the City.
