What are the responsibilities and job description for the Staff Assistant II position at City of North Port?

To provide administrative and technical support to an assigned Department and/or Division; to respond to customer inquiries in a timely and efficient manner; and to perform a variety of recordkeeping functions and clerical duties relative to assigned area of responsibility. Work to be performed with minimal supervision.

  • Serves as primary customer service contact for the Department and/or Division; greets visitors, receives telephone calls, responds to customer inquiries and/or coordinates with appropriate staff or Department.
  • Plans, organizes, initiates and carries to completion various administrative duties, including preparation/distribution of correspondence, letters, memoranda, forms, reports, meeting agendas/minutes, etc.
  • Uses independent judgment in communicating with internal and external customers.
  • Daily interaction with customers, gathering data, assessing needs and determining appropriate level of service required.
  • Maintains records and filing systems as required.
  • Performs data entry of assigned work into appropriate computer systems/applications, including work orders, spreadsheets, databases, etc.
  • Responsible for payroll calculations and entry.
  • Processes purchase orders and invoices for equipment and supplies.
  • Provides assistance with budget preparation and tracking.
  • Schedules appointments, maintains calendars and coordinates meetings, public programs and events.
  • Assists with coordination and preparation of training and/or travel arrangements.
  • Cross-trains and acts as lead and/or back up for other staff in the Department/Division.

  • Excellent customer service skills, including ability to communicate effectively, both in person and in writing.
  • Knowledge of administrative principles and practices.
  • Ability to work independently.
  • Ability to use computer software (Word, Excel, PowerPoint, etc.) and enter data accurately from a wide variety of source documents.
  • Ability to compose and prepare correspondence and memoranda.
  • Ability to produce and maintain financial and/or statistical records, if required, and to prepare periodic reports from such records.
  • Ability to plan, organize and use mature judgment in evaluating situations and making decisions in accordance with established policy.
  • Ability to establish and maintain effective working relationships with employees and the general public. 

Graduation from an accredited high school or possess an acceptable equivalency diploma, supplemented by college courses.  Four (4) years diversified office experience, use of Microsoft Office preferred; two (2) years experience in customer service and public contact work.
 
(A comparable amount of training, education and/or experience may be substituted for the above qualifications.)
 
Licenses and Certifications:
Possession of or ability to obtain a valid Florida driver's license upon date of hire.


Emergency Response Responsibility

Every City employee has emergency response responsibilities, though not every position will require routine assignments during an emergency event.  All employees are subject to recall around the clock for emergency response operations, which may require irregular work hours, work at locations other than the normal work location, and may include duties other than those specified in the employee's official job description. Assignments in support of emergency operations may be extensive in nature, with little advance notice, and may require employees to relocate to emergency sites with physically and operationally challenging conditions.

Salary : $39,281 - $62,850
