You’ll provide courteous service to residents, vendors, and staff while maintaining precise financial records. Your attention to detail and organization will help safeguard public funds and support transparent accounting practices. You’ll play a key role in connecting departments and streamlining workflows across the City. Most importantly, you’ll help make every interaction a reflection of Moline’s values of integrity, inclusion, and service excellence.

- Provide exceptional customer service in person, by phone, and via email.
- Create, maintain, and manage accounting records, reports, and departmental files in compliance with state and local record retention laws.
- Perform accounts payable and receivable functions, including setting up and maintaining vendor and customer accounts, processing invoices, issuing checks, and reconciling accounts.
- Assist with payroll and other accounting functions as needed.
- Input, update, and maintain fixed asset records.
- Prepare, review, and distribute correspondence, reports, and other financial documents.
- Ensure confidentiality of sensitive financial and personnel information.
- Operate standard office equipment, including computer systems, calculators, copiers, fax machines, and mail-handling equipment.
- Assist in ordering, receiving, and maintaining office supply inventory.
- Participate in process improvements and recommend efficiencies in accounting and administrative workflows.
- Provide training and guidance to other staff members as assigned.
- Oversee business licenses and reconcile tax revenues including Hotel/Motel Tax, Gas Tax and Prepared Food and Liquor Tax.
- Assist in preparing reports, reconciliations, and documentation for annual audits.
- Reconcile accounts, purchase card transactions, and petty cash as assigned.
- Maintain compliance with City financial policies, internal controls, and state regulations.
- Participate in cross-training and provide backup support to other Finance staff.
- Support process improvements to enhance efficiency and data accuracy.
- Assist with departmental projects and community outreach related to financial services.
- Demonstrate professionalism, confidentiality, and attention to detail in all interactions.
- Perform other duties as assigned.
- Strong knowledge of accounting principles, practices, and procedures, including accounts payable and receivable processes.
- Working knowledge of modern office procedures, recordkeeping systems, and financial software.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel); experience with HTE or similar financial systems preferred.
- Exceptional communication and customer service skills. Bilingual (English/Spanish) is a plus, though not mandatory.
- Ability to maintain confidentiality, accuracy, and integrity in all financial and administrative transactions.
- Ability to organize, prioritize, and manage multiple assignments efficiently.
- Ability to establish and maintain effective working relationships with coworkers, vendors, and the public.
- Demonstrated initiative and problem-solving skills.
- Associate degree or equivalent from an accredited college or university in Accounting, Finance, Business Administration, or a related field.
- Two (2) years of accounting or financial experience, preferably in a municipal or government environment.
- Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities will be considered.
- Valid Illinois driver’s license or equivalent.
