General Description: Performs Administrative Assistant duties in support of the Planning Department.
Responsibilities:
- May be required to work extended hours, especially during emergencies and natural disasters.
- Take on Special Projects as assigned, some examples include surveying of other communities regarding permit fees, updating all existing application forms to PDF for inclusion on the website, assisting Code Enforcement in updating their section of Code, creating new forms as new procedures, creating spreadsheets and other tracking mechanisms for various items, ect.
- Update zoning applications as needed, convert to PDF, and transmit for inclusion on the city website. Work is performed under deadlines and requires attendance at public meetings and hearings, many of which are held in the evening hours.
- Prepare and update SOP checklists for zoning procedures. Update zoning applications as needed, convert to PDF, and transmit for inclusion on the city website.
- Prepare Federal Express shipments, certifies mail, and standard mailing of documents and meeting materials. Provide updated Planning Department information for the city website to the Information Technology Department.
- Responsible for ordering office supplies.
- Keep photocopier stocked with paper, and all applications stocked and available for applicants.
- Notify, by phone or e-mail, all applicants of the date and time of their meeting.
- Prepare public-meeting signs for posting by applicants notify applicants when public-meeting signs are available for pick up and posting deadline, and arrange/schedule for photos of public-meeting signs posted by applicants.
- Post, distribute, and remove Planning and Zoning Commission agendas on/at/from bulletin boards, post office, and city website.
- Scan approved Planning and Zoning Commission meeting minutes for city website, prepare office file of entire Planning and Zoning Commission meeting packet, and update Planning and Zoning Commission meeting file book for public review.
- Draft Planning and Zoning Commission meeting agenda, copy materials and assemble Planning and Zoning Commission meeting book, and arrange for delivery of Planning and Zoning Commission meeting minute books, prepare Planning and Zoning Commission meeting minutes, distribute draft Planning and Zoning Commission meeting minutes to both the Planning and Zoning Commission and the City Council for review, update Planning and Zoning Commission meeting minutes, if necessary, and prepare final minutes for approval.
- Draft Ordinance and Resolutions for Planning–related items and obtain new Ordinance and Resolution numbers from the City Clerk.
- Review and certify zoning on Business Tax Receipt applications, and maintain list of current Business Tax Receipt applications.
- Request Tree Removal, and Fence Permit inspections, and advice applicants of outcome of Tree Removal & Fence Permit inspections.
- Request water meter assignment for newly constructed homes.
- Calculate impervious Surface Are (ISA) for Zoning Clearance Applications, and signage requirements as they relate to sign permits.
- Accept minor permit applications*, review minor permit applications*, approve/issue minor permits*, and Maintain spreadsheet of current minor permits*.
- Answer phone/take messages and respond to routine request for information (walk-in & phone).
- Interact with citizens, applicants, consultants, and walk-in traffic.
- Performs other duties as assigned.

Minimum Requirements:
Graduation from High School or equivalent. Five (5) years of administrative assistance experience in engineering or planning related profession; or and equivalent combination of relevant education and experience.
If required of the position, the hiring department may require the ability to type at a rate of 40 or 50 correct words per minute and/or PC experience with word processing, spreadsheet or presentation software based on area of assignment.
May be required to demonstrate intermediate to advance proficiency in word processing, spreadsheet, or presentation software, grammar, spelling, setting priorities, or correspondence compositions.
Must reside within twenty-five (25) miles from Minneola’s city limits.
Physical Requirements:
Acceptable eyesight (with or without correction). Acceptable eyesight includes, but not limited to depth perception, close, distance, peripheral, color vision, and the ability to adjust focus.
Acceptable hearing (with or without hearing aid).
Acceptable dexterity in fingers and hands
Ability to access, input, and retrieve information and data from a computer
Ability to stand for brief periods of time; ability to walk short distances; ability to sit for extended periods of time
Ability to twist, reach, bend, stoop, lift, and climb stairs.
Must be able to push, pull, lift, and carry twenty-five (25) pounds.
Environmental Conditions:
Works mostly inside in an office environment and sits for extended periods of time. May be exposed to humidity, dust, pollen, noise, and other adverse environmental conditions.
