Description Of Duties/Essential Functions
Under direction, plans, assigns, supervises and reviews the activities of a large clerical staff engaged in receiving, extracting sorting, reviewing and routing for proper processing tax returns and/or related correspondence, applying credit memoranda and free form codes, compiling documentation for timely or late filing, ordering tax returns for taxpayers, editing a variety of tax returns for maintenance information, and running adding machine tapes of multiple returns to verify the amount agrees with Credit Memoranda/remittance; reviewing computer generated edit briefs with related Individual tax returns, verifying data submitted by taxpayers making limited adjustments to accounts, performing routine screening if ILI 040X claims and Initiating computer flags or document retrieval; provides guidance and assistance to subordinates in resolving processing and procedural problems; independently determines proper routine and/or corrective action to be taken on the more difficult cases; conducts studies and recommends new or revised work procedures be implemented; compiles and prepares a variety of reports; interviews and recommends hiring of individuals; controls work flow; adjusts staffing schedules; coordinates work with other areas of the Bureau; maintains quality control records; prepares production backlog reports; participates in staff meetings; keeps staff apprised of changes in policies and procedures; prepares performance evaluations of subordinate staff; effectively resolves first level grievances.
Minimum Requirements
Requires completion of high school and four years Office Assistance experience; requires working knowledge of the agency’s program operations and policies; requires extensive knowledge of office procedures and programs; requires extensive knowledge of elementary mathematics and grammar; requires ability to direct and supervise work of clerical staff; requires ability to operate manual and automated office equipment Physical requirements of this position are: lifting tubs of work weighing up to 50 pounds and have the ability to deliver tubs to other work areas within the Division.
