About Us
The Department of Public Works Manager II of Capital Projects Management is looking for an accomplished Executive Assistant I to provide exceptional administrative support. The Manager II of CPM is a highly visible, strategic position reporting to the City Engineer. This division is responsible for the design and management of construction projects such as Transportation projects (highways, bridges, streets & alleys) Wastewater projects (rivers, major drainage outfalls, storm sewers, sanitary sewers and lift stations) and New Facility Construction (, Public Works Operations Campus and new Bon Project). This section manages many consultant agreements for professional services we also manage bidding and construction of many Parks and Recreation projects each year.
The focus of the Executive Assistant I position will be executive support of the Manager II; initiative and assertiveness, flexibility, excellent organization and scheduling skills, customer service, multi-tasking and confidentiality are a must. About Our Job
Track and process employee performance appraisals and other personnel related functions for the division. Assist Engineering Division Director (Manager 2) with scheduling appointments, meeting preparation (hand-outs, agendas), coordinating meeting rooms. 35%
Assist Manager with managing e-mail in-box by handling those issues that are within the scope of this position, bringing deadlines, due dates, problems, conflicts in scheduling, potential areas of concern, etc., to the attention of the
Manager 30%
Act as a resource to the Manager and other division managers for general questions on division policies and procedures, rules, processes, etc. Disseminate information from the Manager’s office to staff. 5%
The remaining duties equal 30%
Create, update and maintain construction invoices.
Coordinate meetings, travel and/or conference and seminar registrations for staff members through the Manager’s office.
Track and process employee performance appraisals and maintain personnel files for the division. Coordinate training requests and requirements.
Order cell phones and accessories for employees and check and approve monthly cell phone bills.
Special projects and other duties as assigned.
About You
Graduation form high school or a GED certificate.
Three years of clerical experience providing administrative support to professional engineers involved in construction project design and management.
Additional college level education in Business Administration or a related field will substitute for two years of the experience requirement on a year for year basis.
