Closing Date: Monday, December 15th, 2025, at 9:00 PM (PST)Position: Office Assistant Department: Parks, Arts, Recreation, & Community ServicesHourly Range: $22.26 - $25.77Classification: Temporary Non-Exempt – Overtime EligibleJob Summary: Under general supervision of the Community Services supervisor, assists the Community Services division of the PARCS department by providing clerical and administrative support in and out of the office setting.Supervisory Responsibilities:None Responsibilities may include, but are not limited to:Be fully available to work PARCS special eventsAssist in planning and organizing events, scheduling, and when prompted, to oversee membersHandle incoming calls and other communications; following up missed callsAssist in the planning, organizing and scheduling of community partnership events and programsProcess remittances through the City’s financial systems, ensuring accuracy, timely submission, and proper account codingTrack purchase orders, vendor payments, and budget adjustments and maintain organized digital records of transactionsAssist with proofreading and editing program materials, including flyers, brochures, newsletters, and website content, for grammar, accuracy, and consistent brandingMaintain updated contact lists for community partners, vendors, and program participantsSupport program registration activities, including data entry, tracking participant information, and generating attendance reportsAssist supervisor with creating and updating standard operating procedures (SOPs), or internal workflow guidesServe as a liaison between divisions to ensure smooth coordination of projects and eventsManage filing system and recording information as neededProvide insight into reports by collecting data, analyzing information, and presenting findings clearly and conciselyEnsure all items, reports, and equipment are functioning properly and are ready for useAttend community activitiesUpdate paperwork, maintain documents and word processingPerform general office duties and run errandsAssist in maintaining a professional and inviting office setting, including the preparation of bulletin boards, displays, and seasonal décor that align with departmental events and community themesMaintain supply inventoryPerform other related duties as assignedThe duties listed above are not intended to be all-inclusive.
