We're looking for an Administrative Assistant to assist our Public Works team, balancing complex technical community development with independent office management. As an Administrative Assistant II, you’ll have more latitude and a broader impact than a standard clerical role, taking the lead on department accounting, procurement, and complex planning processes. 

About You

You are interested in a career in becoming an Administrative Assistant that will be managing records, assisting with public works projects, and providing vital information to the public and staff. You are able to work independently, communicate effectively, and remain composed in high-stress situations. We’re looking for someone who is an effective communicator, detail-oriented, and comfortable navigating complex situations while maintaining strong professional relationships.

  • Graduation from a high school or GED, supplemented by two years of related technical or college training in engineering technology, civil engineering, administration or a closely related field; and 
  • Four (4) years of progressively responsible related experience providing complex administrative support and management assistance, preferably working in a similar role and department; or
  • Any combination of experience and training that demonstrates the knowledge and experience to perform the work.
  • Must possess a valid Arizona State driver’s license or have the ability to obtain one prior to employment.

 

Administrative Support & Public Relations (30%) – In this role you will perform a variety of office-related functions, including preparing correspondence, presentation materials, brochures, reducing field notes, and printing materials. You will also be responsible for answering phones and responding to inquiries from contractors, developers, property owners, staff, and the general public. This includes coordinating conferences with consultants, developers, other utility companies, etc., and reserving meeting rooms as needed or making business travel arrangements. In addition, you will be responsible for ordering supplies for the Public Works Department from in-house and outside suppliers.

Budget & Financial Administration (25%) – In this role, you will assist in the preparation and coordination of the department budget, prepare cost estimates for budget recommendations, maintain budget files, track and reconcile departmental budgets, expenditures, transactions, financial statements, and reports. This includes researching and gathering information and data from multiple sources for departmental projects. In addition, you may investigate discrepancies and update management on budget problems, policies and procedures.

Records & Meeting Management (25%) – You will be responsible for the department's records management, taking and transcribing accurate minutes of meetings, preparing meeting agendas, possessing knowledge in Arizona open meeting law and applying it to meetings, following up on committee assignments, responding to requests for information, processing incoming and outgoing mail, and drafting letters and memoranda. This includes maintaining an extensive filing system and ensuring the proper filing of meeting notes, plans, and documents. 

Customer Service & Support (20%) – You will be responsible for effectively communicating complex technical information, orally and in writing, to contractors, developers, property owners, employees, consultants, other governmental agency representatives, City officials, and the general public. This involves establishing and maintaining effective working relationships with co-workers and the public. Communication and interpersonal skills, as applied to interaction with coworkers, supervisors, and the general public, are sufficient to exchange or convey information and to receive work direction. This also requires the ability to analyze problems and develop creative solutions.

Salary : $41,205 - $49,421
