What are the responsibilities and job description for the Part-Time Deputy Clerk position at City of Hoffman?
PRIMARY OBJECTIVES
Performs skilled administrative support providing a variety of routine and complex clerical and administrative duties for the City of Hoffman and in support of other departments. Duties include but not limited to customer service, mail, issuing various city licenses, permits, utility billing, assisting with elections, accounts receivables, accounts payables, managing Community Center, gym rentals and activities, and other duties and projects as assigned. Work is performed under the supervision of the City Administrator.
QUALIFICATION REQUIREMENTS

ESSENTIAL FUNCTIONS
1. Administrative Support:
- a. Front desk support such as customer service, acquiring mail, and answering phones, and greeting visitors
- b. Manage calendars and rentals of park shelters, community center, Hoffman Square, council chambers
- c. Assist in maintaining records, licenses, and permits
- d. Assist with retention schedule to maintain files.
- e. Manages department supplies and responsible for coordinating the maintenance
- f. Assist with the coordination of government data requests made pursuant to the Minnesota Data Practices Act
- g. Prepare and assist with the city website, electronic message board, and social media accounts
- h. Assist with city’s yearly audit providing support to city’s outside audit firm.
- i. Provide administrative and clerical support and backup for the City Administrator
2. Licenses, Permits & Ordinance Enforcement:
- a. Coordinates, maintain records of all pet & chicken licenses
- b. Assist with issuance of liquor licenses and other licenses as needed
- c. Assist with issuance of zoning permits
- d. Prepare ordinance enforcement letters as needed
3. Utility Billing:
- a. Maintain routine tasks associated with recurring utility billing cycle
- b. Preform as-needed and annual utility billing notifications such as assessments or shut-off notices for any delinquent accounts
- c. Set up and maintain new utility billing accounts
- d. Prepare physical bank deposits
4. Campground
- a. Assist with maintaining seasonal campground records and daily reservations in online system
- b. Complete utility billing for seasonal campers twice a season.
5. Elections:
- a. Assist City Administrator in administering and managing all local elections as required by law
- b. Attend election trainings when needed
- c. Stay current on state statutes and Grant County procedures and policies related to elections
- d. Supervises elections in the absence of the City Administrator
- e. Assist in accepting affidavits of candidacy and financial reporting forms
6. Economic Development:
- a. Promote the advantages and benefits of living, working and doing business in Hoffman.
- b. Actively participate in the monthly Hoffman Ag & Commerce Meetings
- c. Act as a liaison between the Hoffman Economic Development Authority Board and the Hoffman City Council
7. General:
- a. Assist with all publications and reporting requirements per State and Federal laws
- b. Treat fellow employees with respect and integrity
- c. Promote a positive and motivating environment
- d. Provide exceptional customer service to residents, developers, city officials, and the general public
- e. Confer with supervisors, peers, and employees to discuss and resolve issues
- f. Make decisions that are always in the best interest of the city
- g. Follow all city and safety policies and procedures
- h. Adapting to change when needed
Pay: From $23.83 per hour
