What are the responsibilities and job description for the Deputy Clerk of Court position at City of Hilliard?

Under general supervision of the Clerk of Court, the Deputy Clerk of Court is responsible for assisting in the daily operations of Mayor’s Court.

Essential Functions of Work:

Assists Clerk of Court in maintaining and securing court records for the Court and Magistrate.

Assists Clerk of Court in scheduling and preparing court dockets.

Records and documents the outcomes of court appearances.

Creates and issues subpoenas on behalf of the City Prosecutor.

Review Bureau of Motor Vehicles (BMV) response files for accuracy and identify necessary corrections to ensure proper case reporting.

Maintain compliance with records retention policies, including preparation for annual records disposal.

Coordinate collection efforts for delinquent accounts, working with appropriate agencies or departments to recover outstanding balances.

Ensure convictions are reported to the appropriate agencies.

Prepares daily cash/check deposit.

Accurately enters charging document information into the court computer software.

Provides the public with general case information via phone and at the Clerk of Court window.

Prepares and issues orders of the Court.

Processes Court receipts, including fines and court costs.

Prepares jail commitment and release documents.

Responds to public records requests for court documents.

Ensures proper disposal of sealed and expunged cases.

Processes case transfers and de novo appeals to Franklin County Municipal Court.

Performs other related duties assigned by the Clerk of Court, Law Director, or his/her designee.

Typical Qualifications:

High School diploma or GED; two-year Associate degree preferred from an accredited institution of higher learning, with two (2) to three (3) years of progressively responsible clerical or court experience.

Possession of, or ability to obtain, LEADS certification, Notary Public, and Mayor’s Court Clerk certification.

Any combination of education, training, and experience, which provides the required advanced knowledge, skills, and abilities to perform the essential functions of the job.

Knowledge, Skills, and Abilities:

Knowledge of principles of filing and record keeping.

Knowledge of proper English usage, spelling, grammar and punctuation.

Knowledge of basic modern office technology, including Microsoft Office, data export, and spreadsheet management.

Knowledge of the laws, rules, regulations and procedures governing the legal processes of a court.

Knowledge of legal terminology, documents, and the laws, rules and regulations governing court record keeping and reporting requirements.

Ability to obtain LEADS certification, Notary Public, and Mayor’s Court Clerk certification

Ability to prepare clear and concise reports.

Ability to communicate clearly and concisely, both orally and in writing.

Ability to provide excellent customer service to the public.

Ability to multitask and manage high-stress situations.

Ability to establish and maintain effective working relationships with those contacted in the course of work.

Ability to maintain confidentiality of information received during the course of business.

Job Type: Full-time

Pay: $24.04 - $33.66 per hour
