We are currently seeking an Administrative Assistant/Permit Clerk position to meet this growing community. This enthusiastic self-starter will aide in promoting the orderly growth of Gretna by providing customer support, processing permits and inspections, and providing full departmental support for the Building & Zoning Department of the City of Gretna. Specific duties are identified in the job description.
ESSENTIAL JOB FUNCTIONS
Customer Support
· Greets and provides customer service at department counter; provides general information as it pertains to the department or refers them to the appropriate agencies as necessary.
· Answers the telephone, takes messages and/or refers caller to appropriate source for assistance or provides information to callers.
· Explains city policies, procedures, regulations, codes and ordinances, assists general public with reading and understanding of maps, drawing of plots and building site plans.
· Assists the general public and contractors in completion of various forms and documents.
· Receives citizen complaints and records information and/or refers individual to appropriate source for resolution.
· Creates, updates, and maintains various informational handouts regarding zoning and building regulations for distribution to citizens.
· Types forms, letters, memos, reports and prepares copies.
· Prepares and distributes various department applications and forms.
· Establishes and maintains positive public relations with the general public, other employees, general contractors, other governmental agencies and municipal officials.
Permits and Inspections
· Accepts and reviews construction plans for completeness, calculates and collects appropriate fees, issues building permits, and submits to finance department for processing; processes refund requests, logs and processes complaints.
· Monitors status and progress of applications and permits.
· Responsible for the daily scheduling of inspections via telephone, fax or in person and distributes to the inspector accordingly.
· Processes and records inspections and results .
· Files all information in appropriate files for future reference for all permitted projects.
· Issues certificate of occupancy for residential and commercial buildings.
· Issues building permits as approved for issuance by building official or inspectors.
Departmental Support
· Primary user of permitting software responsible for issuing all building permits, tracking inspections and approvals.
· Assembles, compiles and creates reports as needed by management.
· Responsible for utilizing a variety of computer programs and all essential functions of permitting software in the preparation and maintenance of various records, reports and documents; reports any problems to management and coordinates with IT and software support personnel.
· Performs clerical support functions for Planning Commission and Board of Adjustment.
· Attends all Planning Commission and Board of Adjustment meetings on a monthly basis as the secretary to record minutes.
· Assists with the application process for zoning actions, subdivisions, and appeals to the Board of Adjustment.
· Monitors and makes recommendations for updates to the City website, including but not limited to site improvements, city information, etc.
· Provides administrative support to departmental staff as needed through various activities including but not limited to, processing incoming and outgoing mail, scheduling appointments, composing, typing, and editing correspondences, reports, memoranda, notices, and other material.
· Catalogues files for record management, writes routine reports, maintains a variety of building and planning related records, utilizes information systems as required in the processing, filing and managing records associated with applications, plan transmittals, permits and general correspondence.
· Assists in constant improvements in the Department.
· Establishes and maintains an appropriate file system by accurately filing departmental records, reports and various other documents.
· Organizes and archives completed projects for building permits, plans, and subdivisions.
· Operates standard office equipment in the performance of job duties, i.e. fax machine, copier, personal computer, calculator, etc.
· Maintains inventory and orders office supplies, various water meters and associated connections, inspection tickets, receipt books and other forms utilized by the department. Performs other administrative/permit clerk duties as assigned.
Education & Experience:
- High School diploma or GED equivalent
- Prefer two years local government experience in , permit processing, building codes, or other planning, code enforcement or land development area.
- Valid driver’s license
