What are the responsibilities and job description for the Administrative Assistant (Water Division, Public Works) position at City of Geneva?
The City of Geneva is seeking a highly organized and detail-oriented Administrative Assistant to join our team at Public Works. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively. This position provides administrative support to the Superintendent of the Water & Wastewater and serves as the first point of contact for residents and visitors.
Essential Job Functions
Including but not limited to:
- Perform general administrative tasks such as answering phone calls, responding to emails, and managing correspondence with residents and vendors
- Process the Water and Wastewater Division payroll
- Prepares and reconciles invoices and works alongside Accounts Payable in Finance
- Assists with managing reimbursement programs within the division
- Assist with meter reading functions; communicate with Finance and assist with water/sewer billing and meter reading issues
- Update content on the Public Works web pages, communicate media releases with the City's Communications team
- Maintain Water & Wastewater records archive and coordinates retention and disposal of records with the State of Illinois
- Serves as FOIA Officer of the Water & Wastewater Division
Minimum Qualifications:
The minimum qualifications for this position include a high school diploma or equivalent and two to three years in a clerical position requiring customer contact and accounts payable or any combination of education, training, and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
Schedule, Salary and Benefits:
The hours for this position are 7 a.m. to 3:30 p.m. Monday through Friday. The starting pay for this position is $57,475 per year.
