What are the responsibilities and job description for the Executive Aide to the Mayor position at City of Gardner?
Under the direction of the Mayor, this position coordinates and provides administrative support for day-to-day activities for City of Gardner Executive Department relations planning and outreach to achieve strategic goals and objectives, including promoting accurate and positive communications about programs and services, and increasing awareness among members of the community, civic and non-profit organizations, businesses, public bodies, and elected officials and staff.
General Duties:
- Performs a variety of duties requiring a degree of precision and knowledge of the Executive Department.
- Performs duties involving computer knowledge and utilization.
- Maintains files, compiles statistics, posts and maintains general records.
- Performs phone duties and services public entering Executive Department.
- Performs outreach and support duties as directed by the Mayor.
Specific Duties and Responsibilities:
- Assist in Municipal Budget Preparation and Implementation.
- Coordinate the operating departments of the City in conformance with Mayoral directives.
- Receive, track and respond to inquiries made by City Councilors to the Executive Department.
- Receive and process correspondence received by the Mayor.
- Answer general inquiries made by the public and, when necessary, refer to appropriate department, commission or individual for response.
- Liaise with City Councilors on matters relating to the Executive Department.
- Assist in the planning and organization of Mayoral functions/meetings.
- Research and organize information for Mayoral speeches/presentations.
- Research information on a range of issues for the preparation of reports and briefing notes for the Mayor.
- Serve on Boards and Committees at the Mayor's discretion.
- Assist in strategic planning.

- Coordinate and/or research issues as delegated by Mayor.
- Perform general constituent services.
- Work cohesively with State & Federal officials, City Council and Local Businesses
- Responsible for handling all other duties and responsibilities that may be required to maintain the efficiency of the Executive Department, as assigned by the Mayor.
Qualifications:
Must have:
- Knowledge of local, state and federal legislative processes.
- Excellent communication, public presentation, research and writing skills are required.
- Bachelor’s Degree or a combination of an Associate’s Degree more than five (5) years of proven public administration experience.
- Ability to work effectively with other City Departments.
- Ability to communicate effectively with the general public as well as with City and Commonwealth officials.
- Flexibility to deal with a very busy office.
- Demonstrated knowledge of current Windows operating systems; competency with Microsoft applications such as word, excel and database operations. Knowledge of MUNIS is a plus.
