What are the responsibilities and job description for the Municipal Court Clerk position at City of Fruita?
SUMMARY:
To provide responsible complex administrative, clerical and technical work in the daily operations of the Municipal Court. Keep current, accurate, organized records which reflect the sentences, fines and orders of the Municipal Court Judge. The Court Clerk verifies that court orders are complied with, which requires ongoing contact with the defendants. Input from the Municipal Judge will be considered in the supervision and evaluation of the Municipal Court Clerk.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Duties include, but are not limited to, the following:
· Demonstrate the ability to maintain confidential information/material.
· Maintain a positive image and working relationship with the public and other City Departments
· Work efficiently, demonstrating excellent customer service skills with the public at the front counter and with telephone inquiries.
· Establish and maintain digital records on all court matters.
· Respond to inquiries which require knowledge of municipal, county and district court policies and procedures.
· Process a citation from the initial filing through the completion of the sentence.
· Prepare and maintain court dockets.
· Schedule pre-trials, trials and sentencing hearings; coordinating with the City Prosecutor and the defendant’s attorney.
· At the direction of the Judge, obtain driving and/or criminal records through CCIC/NCIC.
· Issue subpoenas as requested by defendants.
· Respond to the parties’ questions regarding compliance with court orders.
· Process court records requests by defendants, attorneys, police department, justice partners, and the public pursuant to open records and confidentiality requirements.
· Issue warrants, contempt citations and show cause notices.
· Serve as probation coordinator. Monitor court cases for compliance.
· Process monies received for court cases. Balance cash drawer daily; prepare weekly cash reports and deposits.
· Process disbursements for restitution to victims, bond refunds, jury refunds, and the court’s accounts payable.
· Prepare draft budget for Municipal Court with input from the Judge and manage the final approved and adopted budget.
· Adhere to City policies and procedures.
· Take proper safety precautions, anticipate unsafe circumstances and act accordingly to prevent accidents.
· Other duties as assigned.
QUALIFICATIONS
Ø Basic knowledge of municipal court documents and procedures.
Ø Strong understanding and knowledge of Word, Excel, data entry and other general office-based software applications.
Ø Ability to perform work in an organized, accurate, and timely manner.
Ø Ability to work with people who might be angry, in a calm and professional manner.
Ø Aware of basic bookkeeping procedures.
Ø Basic ability to read and interpret legal statutes and documentation.
Ø Solid organization and communication skills.
Ø Must have the ability to perform job requirements independent of daily direct supervision and provide assistance to the Judge as required.
Ø Ability to interact with other departments in the City of Fruita.
Ø Must have the ability to maintain strict confidentiality regarding information contained within the court records.
JOB REQUIRMENTS
- High School Diploma or GED and 6 months applicable experience.
- Must have a current Colorado Driver’s License and be at least 18 years of age.
- Must be willing to be fingerprinted and successfully pass a Colorado Bureau of Investigation (CBI) background check.
