The Fleet Parts Specialist performs technical, clerical, and operational work, including parts identification, ordering, receiving, inventory control, accounts payable, and customer service. The role uses inventory management software, electronic catalogs, and online procurement tools to ensure accurate stock levels and efficient parts availability for a diverse fleet that includes vehicles, heavy equipment, specialized apparatus, and communication systems.

Salary Range: $28.63 - $35.74 / hourly; $59,550.40 - $74,339.20 / annually

Work Schedule: One of four possible shifts; Monday – Friday, 6:00 a.m. – 2:30 p.m., 7:00 a.m. – 3:30 p.m., 7:30 a.m. – 4:00 p.m., or 8:30 a.m. – 5:00 p.m.

  • Supports Fleet Parts & Supplies daily operations by including ordering, receiving, stocking, issuing, and reconciling payments for parts and supplies.

  • Identifies and researches parts using catalogs, databases, technician specification, and vendor resources.

  • Provides support to technicians and City staff, ensuring timely fulfillment and resolving sourcing issues.

  • Communicates and coordinates with vendors about pricing, availability, and shipping.

  • Uses inventory and fleet management systems to maintain accurate records.

  • Monitors stock levels and recommends adjustments based on operational needs.

  • Processes purchases, returns, and vendor invoices in line with purchasing policies.

  • Tracks and verifies shipments and resolves delivery discrepancies.

  • Maintains clean, organized, and secure storage areas.

  • Performs inventory counts and reconciliation.

  • Operates forklift and other material-handling equipment as needed.

  • Maintains purchasing, inventory, and warranty records; prepares routine reports.

  • Supports and recommends new technology, tools, and process improvements.

  • Performs general clerical tasks and contributes to a safe, inclusive workplace.

  • Other duties as assigned.

A typical way to obtain the knowledge and abilities would be:

Experience:

Four years of progressively responsible automotive/equipment parts and supply clerk experience, including two years of purchasing responsibility.

Training:

High School diploma or equivalent. Basic computer training and college or trade school coursework in business, inventory management or purchasing is preferred.

License or Certificate:

Valid Oregon driver’s license (or, the ability to obtain by date of hire); must pass driving records check and, if hired, maintain a driving record that meets the City’s standard. Oregon law requires that an out-of-state license holder must obtain a valid Oregon license (with appropriate endorsements) within 30 days of becoming domiciled in the state (ORS 803.355). 

Possession of or ability to obtain ASE Fleet Parts Specialist certifications (P1 and P2) within one year or within two ASE test cycles.

Possession of or ability to obtain a forklift certification within first six months of hire.

Background

Must pass a background check.

Physical

Must pass a physical assessment and drug test.

Successful Candidates will bring:
  • A positive, “can do” approach to daily work, including the willingness to step in and assist teammates, take initiative on solutions, and follow tasks through to completion.

  • Experience in parts, inventory, or purchasing workflows.

  • Ability to accurately identify and source parts for a diverse fleet of vehicles and equipment.

  • Proficiency with inventory systems, electronic parts catalogs, and standard office technology. Preferably with experience using Microsoft Office products, including Word, Outlook, and Excel.

  • Strong accuracy and attention to detail in tracking parts, entering data, and reviewing invoices.

  • Clear communication skills for working with technicians, vendors, and staff.

  • Ability to shift smoothly between hands on support and office/administrative responsibilities.

  • Track and analyze inventory data to identify trends or issues.

  • Strong organizational skills with the ability to manage multiple requests and adapt to changing priorities.

  • Ability to prioritize tasks, handle multiple requests, and meet operational deadlines.

  • A commitment to positive customer service, continuous improvement, safety, and teamwork.

Working Conditions: Position requires both computer/office work and strenuous physical labor, including frequent walking, bending, stooping, kneeling, crawling, crouching, standing for prolonged periods, climbing and ability to push, lift, pull, and carry heavy and bulky objects up to 50 pounds. Some duties may involve exposure to adverse weather condition, noise, dust and hazardous chemicals and locations. Some duties may involve working in confined areas. Position may require wearing protective equipment and clothing.

What to Expect from our Selection Process  

Applicants are screened based upon their relevant knowledge, abilities, skills, experience, and training. The selection process varies according to the position and can include such things as screening of supplemental questionnaires, written or skill tests, ability or fitness tests, interviews, and assessment processes. In addition, background investigations and records checks may be required. Some positions also require applicants to have a psychological evaluation and/or physical examination and a drug test prior to employment. Marijuana use is evaluated consistent with current state law regulations. PLEASE NOTE: Once the posting closes, the process can take 4-6 weeks to complete.
