POSITION OVERVIEW
Supervise banquet/rental events and meeting room rentals for the City of Elgin's Parks and Recreation department. Computer experience needed for software use in booking events. Cash handling and excellent customer service skills are required. Troubleshoot AV equipment issues including sound systems and power point projection. Work is performed under the supervision of the Recreation Manager.
This is light work requiring the exertion of up to 20lbs of force occasionally, up to 10lbs of force frequently, and a negligible amount of force constantly to move objects; work requires climbing, balancing, reaching, standing, walking, good manual dexterity, grasping, and repetitive motions; vocal communication is required for expression or exchanging ideas by means of the spoken work; hearing is required to perceive information at normal spoken work levels’ visual acuity required for preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, determining accuracy and thoroughness of work, and observing general surroundings and activities, the worker is subject to inside environmental conditions and noise.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Supervising the day to day operations of the Banquet/Rental events at the Edward Schock Centre of Elgin and the Pavilion at Lords Park.
WEEKENDS–AM AND PM REQUIRED ALSO SOME WEEKDAY EVENINGS.
- Supervise rental events, book tours and events, handle payment transactions, meet with customers for all event details Create and share event detail setup information with our crew chiefs for room setup
- Assist in supervising bartending staff team, handle all liquor service in the Heritage Ballroom bar, close out the bar Pre/Post Checklists with clients – pre/post event walk thru. Some events will end at midnight with close out afterward.
- Assist in the inspection and maintenance of bar and kitchen equipment and all supplies, equipment and inventory
- Knowledge/practice of all emergency procedures, enforce drinking policy when on duty
- BASSET Certified preferred
- Maintain cleanliness of all areas of use in and around the kitchen and bar area, equipment and supplies
- Assist in promoting and marketing banquet and conference events and rentals
- Answers telephone and email inquiries; work with wedding magazine and online lead inquiry systems
- Working knowledge of AV equipment including microphones, power point project or area
- Attend all staff meetings and in-service trainings
- Assist in invoicing rentals
- Assist in supervising bartenders at events – BASSET Certification required after 3 months
- Assist in confirming events and room set ups
- Assist with room set ups
- Abide by all City of Elgin rules and regulations as outlined in the Employee Manual
- Performs related tasks as required
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of hospitality and food service a plus. Ability to organize work independently; ability to prepare effective correspondence on routine matters and to perform routine duties without referral to supervisor; ability to establish and maintain effective working relationships with other staff, City officials, vendors, and the general public.
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school supplemented by coursework in hospitality, foodservice or bartending.
Associate's and/or Bachelor's degree preferred.
BASSET Certification within three months of employment.
