Scope and effect: The purpose of this position is to support the efficient operation of the department through coordination of a variety of administrative and clerical duties.
Personal contacts: Contacts are typically with co-workers, attorneys, judges, solicitors, police officers, jail personnel, individuals from other law enforcement agencies and the general public.
Purpose of contacts: Contacts are typically to give and exchange information and to provide services.
Physical demands: The work is typically performed with the employee sitting or standing at a desk. The employee uses tools or equipment requiring dexterity. Employee must possess the ability to climb stairs and perform light lifting.
Work environment: The work is typically performed in an office. Employee may be required to walk to other departments or offices outside primary building.
Supervisory and Management responsibility: None
Essential Duties And Responsibilities
- Greet visitors, receive and respond to inquiries verbally and in writing; direct visitors/callers to appropriate person or department.
- Process payments for traffic citations.
- Maintain accountability for cash drawers.
- Enter citations in Case Management software both manually and electronically.
- Provide clerical support for Court Clerks.
- Organize and maintain files according to GA Retention Schedules.
- Type letters, reports and other documents as needed.
- Receive, sort and distribute both incoming and outgoing mail to and from the Department.
- Perform other duties as assigned.
- Provide clerical support by answering and directing phone calls— assist at the front counter.
- Respond to front window, telephone and written inquiries.
- Provide assistance and information to attorneys, agencies, City staff and the general public on court procedures and the status of cases.
- Professionalinteractionwithco-workers,attorneys,judges,solicitors,otherlawenforcement agencies and the general public. Interaction will be used to give and exchange information, provide service, and resolve any issues or conflicts.

- Knowledge of City and department policies and procedures.
- Knowledge of general office principles and practices.
- Knowledge of basic court rules, regulations and procedures.
- Knowledge of the practices and procedures involved in Law Enforcement record keeping and confidentiality.
- Knowledge of GCIC Rules and Regulations.
- Skill in operating modern office equipment.
- Skill in operating a computer and entering data into a database.
- Skill in organizing and maintaining filing systems.
- Ability to communicate effectively, both verbally and in writing.
- Ability to use tact and courtesy in dealing with the public as well as with employees in other City departments in all types of contacts arising during daily work activities.
