Description

Join the City of Durango as an Administrative Specialist supporting our Finance Department, where you’ll help community members access City services while contributing to the financial and administrative work that supports our organization.

Based at the front window in City Hall, this position combines customer service, cash handling, and a variety of financial and administrative responsibilities. You’ll work with community members and City employees, process payments, maintain financial records, and support department operations. This is a great opportunity to put your experience to work, develop new skills, and gain a broader understanding of how the City functions.

The starting pay for this position is between $21.81 and $23.99 an hour, with opportunities for growth up to $30.54 per hour based on long-term growth and performance within the role.

Essential Job Duties

What You’ll Do in This Role:

  • Welcome visitors at the City Hall front window and screen incoming calls, providing excellent customer service and responding to inquiries about billing cycles, payment options, and parking citation dispute processes.
  • Accept and process cash, checks, credit cards, and electronic payments for City operations.
  • Reconcile accounts by accurately applying payments to specific customer accounts using database software.
  • Verify, balance, and close out the cash drawer at the start and end of each shift; prepare and track daily bank deposits and financial reports in compliance with auditing standards.
  • Review and process invoices, purchasing card transactions, and requisitions, and maintain budget expenditure balances.
  • Manage office operations, including processing incoming and outgoing mail, maintaining and ordering office supplies, and coordinating office equipment servicing.
  • Maintain department filing systems and records, including organizing, updating, and purging outdated materials.
  • Maintain a calendar of department and Finance Director activities, meetings, and events, and coordinate activities with other City departments, the public, and outside agencies.
  • Support department meetings by preparing and compiling agenda packets, preparing minutes, and disseminating information.
  • Prepare and proofread reports, letters, memoranda, and statistical charts, and independently compose correspondence as needed.
  • Plan and complete special projects and perform other related duties as assigned.

Minimum Qualifications

You Have:

  • A high school diploma or GED.
  • At least three years of experience in administrative support.
  • At least two years of customer service and cash handling experience.
  • An equivalent combination of education and experience may be considered.

You Will Succeed in This Role If You:

  • Enjoy helping community members and answering questions regarding billing cycles, payment options, or city procedures.
  • Maintain accuracy and attention to detail when handling payments, balancing accounts, and updating database records.
  • Work well both independently and alongside team members in a shared customer service space.
  • Communicate clearly and respectfully in person, over the phone, and through written correspondence.
  • Are comfortable using standard office software, including Microsoft Word, Excel, and specialized database applications.
