What are the responsibilities and job description for the Election Specialist (Non-Union) position at City of Duluth?
SUMMARY/PURPOSE
To perform administrative work related to elections and assist with the coordination of election judges and polling places.
SUPERVISION RECEIVED
For both one-of-a-kind and repetitive tasks, the supervisor makes specific assignments that are accompanied by clear, detailed, and specific instructions. Incumbents work as instructed and consult with the supervisor.
SUPERVISION GIVEN
Does not supervise.
1. Perform election functions in an assigned program area.
2. Assist with in-person absentee voting, such as checking-in, registering, and providing voting materials to voters.
3. Assist with absentee voting by mail, such as processing requests for absentee ballots, preparing ballots to be sent by mail, processing ballots returned by mail according to Minnesota law, and preparing mail ballots for tabulation.
4. Work at the Election Warehouse, preparing equipment and supplies for deployment to polling sites, testing equipment to ensure accuracy, and completing inventories.
5. Process a high volume of time-sensitive election materials.
6. Perform data entry where details and accuracy are essential.
7. Learn and effectively utilize new software systems.
8. Provide quality customer service in-person, via phone, and via written communication.
9. Follow all relevant laws, regulations, policies, procedures, and guidelines.
10. Inventory, prepare, and categorize election equipment and supplies.
11. May be assigned to assist in other programs within elections or within the City Clerk's office as needed.
12. Be an effective team member by exhibiting self-motivation, supporting other employees in handling tasks, interacting effectively and respectfully with others, showing a desire to contribute to the team effort, accepting assignments willingly, and completing tasks within agreed upon timelines.
13. Other duties may be assigned.
Age Requirements
A. Must be 18 or older by date of hire.
License Requirements
A. Possess and maintain a valid Minnesota Class D driver's license or privilege.
