FLSA Status: Part-Time, Non-exempt
Hours: Monday through Friday, 12:30pm – 4:30pm
Salary Range: $18.00/Hour USD

SUMMARY:

 

The Receptionist serves as the first point of contact for City Hall and provides professional, courteous, and responsive customer service to residents, visitors, elected officials, community partners, and City employees. This position provides day-to-day clerical, administrative, and office support to ensure municipal services are delivered effectively and efficiently.

 

Under general supervision, the Receptionist greets and directs visitors, answers and routes incoming calls, provides general City information, assists with public inquiries, supports daily office operations, performs routine administrative tasks, and completes related duties as assigned.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: These tasks are typical for this position and may include, but are not limited to, the following:

  • Effectively communicate with employees at all levels, elected officials, civic leaders, residents, visitors, and community partners.
  • Greet visitors, determine the purpose of their visit, and direct them to the appropriate department, meeting, or staff member.
  • Provide accurate information regarding City departments, office locations, employees, services, programs, and resources.
  • Deliver exceptional customer service while assisting the public in person, over the telephone, and through other forms of communication.
  • Answer incoming telephone calls courteously and professionally and route calls to appropriate personnel.
  • Evaluate inquiries and refer non-routine, sensitive, complex requests, concerns, or complaints to the appropriate staff or department.
  • Perform general clerical and administrative duties, including typing, data entry, filing, copying, scanning, and assisting with special projects.
  • Receive, sort, and distribute incoming mail and deliveries for City Hall.
  • Notify employees of scheduled appointments, visitor arrivals, and meetings.
  • Prepare, organize, and maintain meeting rooms, training areas, and shared spaces.
  • Assist departments and colleagues with administrative tasks and daily operational needs.
  • Establish and maintain positive working relationships with City employees, officials, community partners, and the general public.
  • Maintain a clean, organized, professional, and welcoming lobby and reception area.
  • Operate standard office equipment including computers, phones, printers, copiers, scanners, and related technology.
  • Other duties as assigned.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

  • High school diploma or G.E.D. equivalent is required.
  • Minimum of six (6) months of receptionist, administrative, clerical, customer service, or related experience required.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • None required.

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and related applications.
  • Knowledge of standard office practices, procedures, and equipment.
  • Ability to communicate professionally, clearly, and effectively both verbally and in writing.
  • Strong customer service skills with the ability to assist the public with patience, courtesy, and professionalism.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a busy office environment.
  • Ability to exercise sound judgment, tact, initiative, and resourcefulness.
  • Maintain a positive attitude and professional demeanor while representing the City.

 

LANGUAGE SKILLS: 

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent to draw and interpret various graphs.

 

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

TRAVEL:

There is no regular travel anticipated for this position.

 

POSITION TYPE/EXPECTED HOURS OF WORK:

This position is classified as part-time. Days and hours of work are Monday through Friday, 12:30 pm – 4:30 pm. Evening, weekend, and work hour adjustments may be required as job duties demand.
