Responsibilities include meeting preparation, internal coordination, document development, project tracking, and preparing City Council materials when needed. The role supports high-level operations, promotes resource optimization, and contributes to department data-informed decision-making. Essential Job Duties: The candidate must be able to perform the following essential duties with or without reasonable accommodation: Exercise a high level of discretion and professionalism in all interactions, particularly when handling confidential information related to the City Manager, City Council, and executive leadership matters.Prepare and organize meeting logistics for the City Manager’s Office, including internal briefings, departmental meetings, and strategic planning sessions.Support the development and finalization of agenda materials; may assist in preparing City Council agendas or packets as needed.Draft, edit, and distribute correspondence, reports, presentations, and tracking documents for use by executive leadership.Coordinate cross-departmental communications and follow-up tasks to ensure alignment with organizational goals.Analyze internal data, practices, and systems; develop written recommendations to improve processes and resource efficiency.Assist with project management tasks, including scheduling, research, and reporting on strategic initiatives.Maintain organized electronic and physical filing systems that comply with records retention laws and the Texas Public Information Act.Monitor and track performance measures, expenditures, and deliverables on key assignments.Support special projects, public communications, and visual materials in collaboration with departments.Assist with preparing quarterly updates and performance-related reports for the City Manager and City Council.Provide professional internal and external customer service, responding to inquiries with discretion and accuracy.Attend City Council meetings and other public events when needed, ensuring materials and documentation are properly prepared.Perform other related duties and administrative support tasks as assigned.
