Description

This position performs routine to moderately complex clerical work in the issuance of business licenses, the collection of related payments, and the maintenance of division records. Performs related clerical work as assigned. Enforces the City’s business license ordinance. The incumbent works according to some procedures but decides how or when to do things; work is reviewed regularly by supervisor.

The work is considered sedentary and involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations. The work requires the following physical abilities to perform the essential job functions: fingering, hearing, mental acuity, reaching, repetitive motion, speaking, standing, talking, visual acuity, and walking.

Work environment involves exposure to no known environmental hazards; and is safe and secure that may periodically have unpredicted requirements or demands.

Essential Job Functions

  • Greets and assists customers; provides information regarding business license ordinance requirements and payment procedures;
  • Answers the telephone; provides information as requested by internal and external customers;
  • Calculates business license fees due;
  • Prepares and mails business license billing invoices;
  • Processes hospitality tax remittances;
  • Processes tourism and development remittances;
  • Processes garage sale permits;
  • Collects, receipts and posts payments to appropriate accounts; processes refunds;
  • Maintains accurate and up-to-date customer records;
  • Ensures the timely maintenance of office equipment;
  • Performs general clerical work as required, including but not limited to preparing reports and correspondence, entering and retrieving computer data, copying and filing documents, sending and receiving faxes, answering the telephone, processing daily mail, ordering supplies, etc.;
  • Receives and responds to inquiries, concerns, complaints and requests for assistance regarding areas of responsibility;
  • Attends meetings, workshops, conferences, etc., as appropriate to enhance job knowledge and skills; and

Performs other related duties as assigned.

Qualifications

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High school diploma or GED;
  • One (1) year of relevant prior experience;
  • Valid South Carolina Class “D” Driver’s License.

Knowledge, Skills, And Abilities

  • Requires basic math involving multiplication, formulas, percentages and rate calculations;
  • Ability to compute or perform arithmetic operations using data or information;
  • Must possess excellent customer service skills and the ability to serve others; provide business license information regarding license requirements and rates; ability to exchange information with customers to determine business activities and classification codes;
  • Ability to handle or use machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner;
  • Ability to perform semi-routine work following procedures with occasional problems;
  • Ability to read technical instructions, procedures, manuals and charts to solve practical problems; composing routine reports and specialized reports, forms and business letters with proper format; speaking compound sentences using normal grammar and word form;
  • Ability to perform clerical, manual or technical tasks prescribed by standard practices but which may require computation, the use of several procedures, and the use of independent judgments with obvious choices; requires normal attention for accurate results; and
  • Ability to guide others, requiring a few decisions affecting a few co-workers; works in a stable environment with clear and uncomplicated written/oral instructions but with some variations from the routine.
