What are the responsibilities and job description for the Airport Asset Management Lead position at City of Cleveland?
- Must successfully complete a Transportation Security Administration (TSA) 10-year fingerprint -based Criminal History Records Check and employment background check and Security Threat Assessment.
- Must be able to pass a pre-employment physical and drug test.
- This position may require availability outside standard business hours for crisis response or major airport events.
- On-site presence at CLE is required to support airport operations and emergency response coordination.
Preferred Qualifications:
- Five years of full-time, paid experience managing assets within an Asset Management system.
- Experience in Trimble Cityworks
- Experience in Procore
- Experience with GIS
- Experience in utilizing project management tools, business writing, research and professional communication skills (i.e. white paper summaries, presentations, charts/graphs, etc.)
Maintenance System:
- Measure and publish performance metrics to the management team; interpret data, troubleshoot processes, and make recommendations based on findings.
- Develop and maintain accuracy of equipment metadata by regularly collecting and inputting information, such as; manufacturer, model, serial number, and system structure information. The data is maintained in the asset management software and equipment is labeled/barcoded or identifiable in the facility.
- Develop and maintain accuracy of Work Order (WO) related data:
- User Setup, Employees, Shifts, Crews, and Supervisors
- Adding Equipment to PM Plans, Schedules, and Work Packages
- Defining scheduled due dates or initial meter points of system-generated WOs
- Develop and maintain facility-specific Preventive Maintenance Plans, Schedules, Routes, and Work Packages
- Support management in the review of WO Data accuracy such as; Equipment on WOs, Hours (Employee and Vendors), parts usage, WO type, closing codes, WO Comments, etc.
- Works with management to roll out new functionality, to develop new work processes and improve on the current processes, standard object coding scheme, Preventive Maintenance (PM) and Predictive Maintenance procedures and scheduling, and asset management reports.
- Serves as liaison for problem-solving and escalation.
- Aides in developing training materials and the training and educating of internal and external staff on the work order management system functions and best practices for performing tasks.
- Develops dashboards.
- Assists with budget development and is responsible for asset management and maintenance sections’ procurements including ordering supplies/materials, services, and manages requisitions, tallies and payments.
Document Control:
- Develop and implement document/data management solutions focusing on document control and record management and retention.
- Administers data/document management applications.
- Establish and implement well-defined procedures and guidelines for all functions of document management and retention.
- Perform quality assurance and control checks to ensure data and documents are properly classified and stored.
- Receive, track, and monitor documents using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required.
- Enter data and produce reports using other standard office automation or department-specific computer applications. Initiates and replies to routine correspondence related to area of responsibility.
- Maintain current knowledge of record retention requirements and verify retention requirements, long-term storage, or disposal of appropriate documents.
- Provide document retrieval assistance to customers.
- Train staff and workforce on Document Control policies and procedures
- Coordinate with various sections and contractors on document requirements, document retrieval and change management processes.
- Input data into the Procore Construction Management system
- Manages documents in Procore and other programs
Facilities Modification Process:
- Understands the Facilities Modification Permit (FMP) process for all intended improvements to Department of Port Control facilities, including but not limited to:
- Receive the FMP application and supporting documentation and review for completeness.
- Distribute the application and supporting documentation for technical review.
- Review any questions or comments and follow up to have them addressed.
- Request and collect required information necessary to issue a notice to proceed.
- Issues a Notice to Proceed
- Coordinate with Inspectors for project oversight and ensure work was completed according to the approved scope of work.
- Collect and archive as-built drawings, as required.
- Coordinate to have as-built information integrated into building information models (BIM).
