General Description
This position is responsible for providing superior customer service to residents and non-residents of the City of Clermont. These services may include answering of phones, receiving of funds (e.g., facility, venue, or programming), and receiving and responding to a variety of different inquiries. This position is responsible for distributing information to visitors, conducting facility tours, and other applicable front desk customer service duties. This position works under direct supervision.
This position is non-exempt. Fair Labor Standards Act overtime provisions will apply.
Primary Duties
- Ensure that each visitor receives outstanding service by providing a friendly, welcoming environment, building relationships, communicating effectively and demonstrating concern, professionalism and integrity in all customer dealings.
- Greets visitors; answers phones; guides tours; answers questions; provides rental and program information, and collects fees. Distributes appropriate information, forms, and provide instructions to visitors according to City of Clermont procedures.
- For rentals/related events, assures completion and accuracy of all paperwork and related data entry such as: application, request for alcohol, financial information, contracts, and liability releases. Checks in new members, takes pictures, and schedules rental facilities as assigned. May work on layout designs.
- Communicates and coordinates with other departments as needed.
- Secures entrance to building. Provides for a secure environment by checking member ID's and dealing with those situations where the public tries to gain unauthorized access, and checking drivers' licenses or photo id as needed.
- Responsible for point of sale transactions; collecting rental fees; reconciling and balancing cash drawer by shift or day with general accuracy on transactions. Verifies funds for transfer/deposit. Locks safe and/or related storage for cash.
- Provides an excellent experience for our visitors in the form of tours, rental information, program information, and fee collection. Also responsible for accurately completing all necessary paperwork and forms. This includes financial information, contracts, and liability releases. This may be in the form of hard documentation and/or the input of this information into software system
- Provides input and feedback obtained by visitors in an effort to improve the services that are provided by the City of Clermont.
- Keeps the front desk and customer areas clean and inviting.
- Performs administrative/clerical functions such as entering and retrieving computer data, sending and receiving correspondence, responding to emails, organizing and filing documents, updating calendars, sending out weekly schedules and reminders, providing monthly statistics, and customer service.
- May schedule and provide some instruction for part-time Recreation & Parks Attendants.
- Attends and participates in regularly scheduled department meetings as required.
- Performs other duties as assigned.
Minimum Qualifications
- High school diploma or GED.
- One (1) year experience with customer service, handling money, and using various computer skills.
- Valid Florida Driver's License.
Essential Physical Functions & Environmental Conditions
- Sedentary work involving standing or walking for brief periods.
- Exerts up to 10 pounds of force on a regular basis.
- Operates office equipment requiring moderate dexterity
- Normal visual acuity; and good field of vision, hearing, and speaking abilities.
Works predominantly inside in an environmentally controlled space. May occasionally be asked to work in possibly adverse environmental conditions (e.g., sun, heat, cold, wind and rain) for moderate periods of time.
