As a key member of the City’s leadership team, the City Clerk will work closely with the Mayor, Assistant City Administrator, City Council, and department directors to oversee the City’s legislative processes, maintain official records, coordinate public meetings, administer public records requests, support elections, and ensure compliance with applicable legal and regulatory requirements.
The successful candidate will bring a proactive, solutions-oriented approach, balancing accuracy and attention to detail with the ability to manage multiple priorities and deadlines. MINIMUM QUALIFICATIONS
- Associate degree in office management, business, communications, government, or related field (experience may substitute degree).
- At least (4) years of relevant professional experience in government, public administration, or a similar organizational environment.
- Certified Municipal Clerk (CMC) designation must be obtained within 2 years of hire.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Prepare and distribute agendas and support materials for City Council and other meetings as needed; compose and issue public notices in compliance with state law. Publish notices and maintain official City records for Council and other meetings. Attend meetings and record minutes; follow up on action items as necessary.
- Serve as custodian of official City records and public documents; maintain filing system for official City records; manage records program (including destruction of records) for the City assuring compliance with legal requirements and disclosure regulations; maintain inventory of records within the City.
- Ensure City agreements, contracts, and other legal documents are signed and recorded, associated records and documents are obtained, and public notices and ordinances are published.
- Serves as the City’s Election Official; administers Oath of Office; facilitates training of City officials; works closely with Kittitas County Elections Department; and maintains custody of official City seal.
- Respond to public records requests and inquiries from citizens, civic groups and other agencies, and provide information accordingly. Communicate with City officials, City Attorney, City departments, citizens, advisory boards and commissions, and outside agencies, performing research and providing information as required.
- Serves as the liaison with the insurance pool. Accepts claims for damages and other legal process papers. Maintains the City's property and auto schedule, ensuring information is accurate and up to date. Ensures incident reports and other claims paperwork are completed.
- Maintain and organize records for state audits; report monthly and quarterly to the State Department of Revenue; administer the Records Retention and Storage program; Pangrazi award program; and assist public works with the six-year street program.
- Process lodging tax grant requests, including attending committee meetings, compiling and maintaining required documentation, preparing local and state reports, and processing payment requests.
- Act as the city’s Cemetery Sexton – maintaining records; meeting with the public; performing on-site survey measurements; and coordinating cemetery activities.
- Perform general administrative duties for the administrative staff as well as perform backup duties and responsibilities to the City’s front counter. Provide backup and cross-train with the Finance Director.

THE COMMUNITY
Located on the west side of Kittitas County and approximately 80 miles east of Seattle along I-90, Cle Elum is home to around 2,300 residents. The community is known for its mining and logging history and provides a family atmosphere with access to year-round outdoor activities like skiing, snowmobiling, hiking, fishing, camping and more. Cle Elum is known as the Heart of the Cascades and offers a strong culture of community.
Residents of Cle Elum experience all four seasons, with lush green springs, comfortably warm summers, colorful autumns, and snowy winters. Cle Elum is close to popular destinations like Snoqualmie Pass, the Pacific Crest Trail, and other locations prime for winter sports and summer hiking expeditions.

The Cle Elum School District provides quality education to K-12 students, serving over 950 students at their elementary, middle and high schools. Close by is Central Washington University, home of the Wildcats, where over 135 undergraduate majors and 32 master's degree programs can be obtained.
CITY GOVERNMENT
The City of Cle Elum operates under a Mayor-Council form of government with seven councilmembers. Each Councilmember is elected at-large for four-year terms on a staggered basis. The City Clerk is appointed by the Mayor, and approved by the council. The City employs approximately 30 regular full-time employees, 5 part-time, seasonal and temporary staff, and partners closely with neighboring municipalities.
COMPENSATION AND BENEFITS
- Wage Range: $40.44 to $49.16 per Hour
