Job Summary:

The Police Support Specialist performs a variety of administrative and clerical duties. Work may include, but is not limited to, answering the phone, typing documents, performing data entry, reviewing and preparing reports, compiling data and other statistics, processing police records, researching records, taking citizen reports, taking minutes at meetings, receiving payments, preparing expense reports, handling cash, and balancing a cash drawer. The Police Support Specialist performs a wide range of office support functions using independent judgment while applying existing policies and procedures to complete assignments, respond to non-routine inquiries, and explain department/division services, policies, procedures, and rationale for decisions to customers. The job involves the use of a variety of computer operations and/or specialized software to complete daily assignments. The job’s primary and diverse duties include creating, reviewing, and processing law enforcement documents and records, identifying and correcting errors and omissions on documents received from staff and/or the public, performing data entry, and maintaining records. The work is performed under a designated supervisor, with latitude allowed for independent judgment and initiative within the processes and procedures required by the Police Department. The job requires fast, efficient, and accurate customer service, and the ability to type documents with excellent grammar and spelling, good communication skills, and the ability to work efficiently with multiple interruptions. Due to the nature of the job in the police department, confidentiality in all work is required. The work schedule/hours may vary depending on the work assignment.

Minimum Training, Experience and Education

High school diploma or equivalent; and

At least two (2) years of experience performing clerical and administrative duties, preferably in a law enforcement setting;

Possession of a valid State of South Carolina driver’s license and a satisfactory Motor Vehicle Record;

Must be twenty-one (21) years of age or older; must be a citizen of the United States and have no criminal history.

Preferred Qualifications:

Prior experience in customer service, clerical, and administrative duties, preferably in a law enforcement setting.

40-hour NCIC certification.

An Associate’s or Bachelor’s Degree from an accredited college or university

Duties and Responsibilities

Maintains all records of the receipt, storage, and disposition of all property and evidence.

Maintains an accurate inventory of all property and evidence.

Dispose of all property and evidence in accordance with state laws and agency policies and procedures.

Overseeing items of evidence and property, maintains the chain of custody and security of all items.

Reviews reports associated with evidence and property for accuracy and integrity.

Performs routine clerical work; duties may include logging in materials and documents, entering data and information into computerized files, filing and retrieving materials from manuals, typing correspondence, memos, and other short documents, and sorting documents.

Responsible for transporting evidence, guns, drugs, etc., to the South Carolina Law Enforcement Division (SLED) for testing and analysis

Responsible for transporting money received to the City Finance Department.

Prepares and maintains a wide variety of departmental records and reports in compliance with departmental policies and procedures.

Assists the accreditation manager with achieving and keeping up with State and National accreditation guidelines.

Participates in departmental training programs.

Participates in community relations projects as required.

Shift work may be required at times.

An employee may be placed on call for operational needs.

Performs other related duties as required.

Knowledge Required by the Position:

Knowledge of or the ability to learn Federal, State, and local laws and legal procedures.

Knowledge of or the ability to learn the department’s rules, regulations, policies, and procedures.

Knowledge of modern office practices, methods, equipment, and standard clerical procedures

Knowledge of or the ability to learn modern methods and practices of preservation of evidence and identification.

Operate a personal computer, calculator, photocopier, facsimile, and other office equipment.

Ability to add, subtract, multiply, and divide in all units of measurement using whole numbers, common fractions, and decimals.

Ability to read and comprehend routine instructions, short correspondence, and memos.

Ability to communicate and interact professionally and courteously with co-workers, immediate supervisor, and the public.

Ability to learn the department’s office procedures and operations.

Ability to explain routine procedures and policies to the public and coworkers.

Ability to communicate clearly and effectively, orally and in writing.

Ability to drive and operate the department’s assigned vehicles and equipment safely and efficiently.

Ability to pass pre-employment physical examination, including drug screening.

Ability to deal tactfully and courteously with the general public in sometimes difficult and trying circumstances (Customer Service)

Ability to establish and maintain effective working relationships with co-workers, other City employees, and the general public.

Ability to work accurately with detailed records and complex information.

Ability to work independently.

Guidelines:

Abide by all Federal, State, and local laws, Departmental Standard Operating Procedures, and the Departmental Code of Ethics. Work requires independent judgment and discretion in difficult or unusual situations.

Complexity:

Work requires the exercise of independent thinking within the limits of guidelines, policies, standards, and precedents.

Scope and Effect:

Responsible for maintaining the chain of custody of submitted items concerning storage and transportation of evidence to the evidence room, crime lab, court, returning items to owners and victims, and to assist in the destruction of these items.

To release items to appropriate personnel, Courts, and the general public, as directed.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit, use hands and fingers, to handle or feel objects. The employee is occasionally required to stand, walk, and reach with hands and arms. The employees must frequently lift and or move up to 40 pounds.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This job is performed in an office environment. The noise level in the work environment is usually moderate.

Pay: $45,000.00 - $48,000.00 per year
