We're looking for someone with experience managing complex records and maintaining accurate data, ideally in a library technical services, acquisitions, or cataloging environment. We also encourage candidates with experience in archives, records management, metadata, information management, document control, technical inventory systems, or other detail-intensive roles where precision, organization, and data quality are essential. Required Knowledge, Experience, And Training

  • High school diploma or equivalent and four years of experience in a library or related environment with exposure to complex classification systems, or an equivalent combination of education and experience.

Essential Functions

Receives library materials in all formats and verifies their condition and suitability for use in the library. Reviews purchase orders to ensure the accuracy of items. Locates correct bibliographic records to import into the ILS. Creates item records, ensures holdings are correct, merges records as needed and identifies any ongoing issues for cleanup to maintain the integrity of the data in the ILS. Maintains local cataloging requirements by adding data points for searchability. Handles complex issues with records, and refers only the most complex problems to a cataloger.

Physically processes materials using established procedures. Performs daily quality assurance checks on entries completed by other staff. Maintains data for statistical reports. Assists with interlibrary load processes, which may include working directly with customers to provide patient and tactful service.

Works on initiatives including but not limited to bindery, mending, call number reassignments, curating digital recommendation lists and mail distribution. Participates on library-wide teams.

Assists with library-wide procurement functions for supplies including minor and major equipment. May interact with vendors. Interacts with delivery personnel and signs for supplies and deliveries.

Requirements

Additional Required Knowledge, Experience and Training

Knowledge Of

  • Standard library procedures, policies and materials
  • Basic bibliographic record format, library cataloging and current classification systems
  • Customer service techniques
  • Computer usage including related software.

Ability to:

  • Learn and use changing library systems
  • Interpret and understand bibliographic and item records
  • Work independently and as part of a team
  • Organize work and manage multiple priorities
  • Communicate effectively in the English language at a level necessary for efficient job performance
  • Perform all essential functions as assigned by an authorized employee, supervisor, and/or manager with or without a reasonable accommodation.

Preferred Knowledge, Experience, And Training

Post-high school education or coursework in library science or information technology and five years of experience in a library technical services environment working with library materials and utilizing vendor's online systems.

Physical Efforts

While performing the duties of this job the employee is always lifting/carrying up to 10 pounds, frequently lifting/carrying up to 50 pounds and rarely lifting/carrying up to 75 pounds. Also, the employee is frequently pushing/pulling up to 100 pounds and occasionally pushing/pulling up to 101 pounds. The noise level is occasionally moderate and rarely very loud. Work includes sensory ability to talk, hear and touch. Work in this position also includes close vision. Employees will sit, stand, walk, stoop, kneel, crouch, crawl, reach and grasp. Position requires hand/finger dexterity.

Working Environment

The work environment will include inside conditions, areas of dust, odors, mist and gases or other airborne matter. Work includes protected exposure to infectious bacteria, bodily fluids and chemicals. Exposure to varied weather conditions such as uneven sidewalks and icy conditions during winters between parking lot and building entry. Watch for traffic when assisting donors with unloading of donated materials.
