What are the responsibilities and job description for the Summit Park Events and Programs Coordinator position at City of Blue Ash, Ohio?
The City of Blue Ash is seeking an enthusiastic team member to assist with events and programming at Summit Park. Summit Park is a 130-acre park in the City of Blue Ash and is one of the premier outdoor event spaces in the Cincinnati area.
The Events and Programs Coordinator will report to the Summit Park Programming and Events Manager and is responsible for independently coordinating community programing and serving as an active member of the Programming & Events Team. This is a Part-Time Permanent position averaging 20 to 25 hours per week year-round. Many events and rentals require evening, weekend, and holiday support, including the City’s major summer events.

- Create, send, and receive contracts related to programming, Summit Park room rentals and the City’s DORA Program. Manage invoices; collect Certificates of Insurance; and maintain regular communication via email and phone with event partners, vendors, clients and programmers. This role plays a significant part in creating purchase orders.
- Serve as the lead for the Summit Park rental room program and City DORA districts at Summit Park and Towne Square.
- Assist with the City’s larger annual events, including business and food vendor coordination, on-site logistics, set up and tear down, and nights and weekends as needed.
- Serve as an active member of the Programming and Events Team and assist with other City events as needed.
Education:
- High school diploma or equivalent required.
Experience:
- Previous experience in event planning, coordination, or a related field preferred.
- Experience with administrative tasks such as scheduling, invoicing, and managing contracts preferred.
- Experience working with community events, festivals, or public programming is a plus.
Skills:
- Ability to work effectively both independently and as part of a team.
- Strong organizational skills, with the ability to manage multiple projects and deadlines and prioritize effectively with high attention to detail.
- Strong communication skills and the ability to maintain regular contact with community partners, vendors, and the public. Able to work with diverse groups with varying needs and expectations.
- Problem-solving skills and the ability to stay composed in a fast-paced event environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new software, including internal Point of Sale and Scheduling systems.
- Enthusiastic personality with a commitment to providing exemplary customer service.
- Willingness to learn new things and think creatively.
Additional Requirements:
- Flexibility to work evenings, weekends, and holidays as required.
- Ability to work outdoors in varying weather conditions for extended periods.
- Physical ability to stand and walk for up to 6 or more hours during a shift.
- Ability to lift or exert up to 50 pounds of force occasionally, up to 20 pounds frequently, and up to 10 pounds constantly.
- Valid driver’s license and reliable transportation.
- Ability to pass a background check.
