Job Summary

We are seeking an Executive Assistant to support the Board Chair, Vice Chair, and Director of Partnerships. The ideal candidate will be a detail-oriented professional with exceptional organizational skills, capable of managing various responsibilities in a dynamic and fast-paced environment. This position requires a proactive individual who can anticipate needs, exercise discretion, and maintain high professionalism.

Environment: Remote for general support; in-person, evenings for Chamber events

Responsibilities:

  • Executive Support:
    • Act as the primary point of contact for the executive team, managing communication and ensuring timely responses
    • Coordinate and maintain information for meetings, conferences, and travel
    • Prepare, edit, and proofread correspondence, reports, and presentations
  • Administrative Management:
    • Oversee the day-to-day operations, including managing phone calls, emails, and visitors
    • Maintain and organize files, records, and documents
    • Build and manage member communication channels
  • Event Coordination:
    • Provide administrative support for Chamber programs, including evening events
    • Liaise with vendors, sponsors, and stakeholders to ensure seamless event execution
    • Create invoices and proposals for vendors, sponsors, and stakeholders
    • Provide on-site support during events, managing logistics and addressing issues
    • Outreach to prospective partners and collaborators for various events
  • Membership Engagement:
    • Assist in membership management, including processing applications, renewals, and inquiries
    • Collaborate with the Board of Directors to organize outreach activities and events
    • Maintain accurate and up-to-date membership records
    • Conduct outreach to members for newsletters, general correspondence, and concerns

Preferred Skills:

  • Project Management:
    • Ability to manage and coordinate special projects on behalf of the executive team, ensuring timely completion and delivery of high-quality outcomes
  • Technology Proficiency:
    • Familiarity with office technologies and tools like project management software, customer relationship management (CRM) systems, and virtual meeting platforms
  • Networking:
    • Strong networking skills to represent the Chamber at events, build relationships with members, and enhance the organization's visibility within the business community
  • Adaptability:
    • Flexibility to adapt to changing priorities, work demands, and deadlines while maintaining a positive and professional demeanor

Qualifications

  • Proficient in Microsoft Office Suite and other relevant software
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Discretion and confidentiality in handling sensitive information
  • Ability to work independently and collaboratively in a team environment
