Administrative Assistant to City Council

The City of Attleboro seeks an Administrative Assistant for the Municipal Council, who under the general supervision of the Municipal Council President, performs administrative, legislative, professional, secretarial and supervisory work. Works independently and is solely responsible for the day-to-day operations of the Municipal Council Office.
Duties include: Makes frequent phone calls with City, state and federal officials, and the general public, requiring courtesy and discretion. Solely responsible for retaining and maintaining the integrity of confidential communication. Acts as a liaison to City officials on behalf of City Councilors. Independently prepares the official Certificate of Vote for the Mayor’s signature following Council meetings and distributes the signed certificate for implementation. Organizes communications to the City Council and prepares assignments for the review of Council President. Attends all regular, special, and executive session council meetings and committee meetings as requested as well as additional public/municipal forums. Prepares minutes with appropriate and legal accuracy to establish the official record. Serves the committees of the Council and prepares weekly dockets; gathers and distributes supporting data; researches issues as requested; prepares motions for legislative approval. Responsible for determining when and how to post and advertise public hearings and meetings. Administers council office, assists in preparation of office budget; provides electronic and technical support as well as guidance to councilors in official duties. Assist in the planning and execution of City events, including but not limited to: the inauguration ceremony for elected officials, Winterfest and holiday celebrations. Performs related work as required.
Requires Associate’s Degree in executive secretarial or business administration; two years of related experience in the public sector preferred; or any equivalent combination of education and experience. Must hold Notary Public Commission Certification. Additional requirements: Thorough knowledge of office procedures and office equipment. Ability to use a computer for word processing and spreadsheets. Familiarity with MUNIS. Ability to deal with the public, exercise tact, diplomacy and discretion. Must exercise confidentiality and maintain neutrality.
