The purpose of this position is to oversee and coordinate City fleet operations by serving as the primary system administrator for the City's computerized fleet management system, generating and compiling reports and data from the fleet system to determine equipment replacements and operational cost savings recommendations.
ESSENTIAL JOB FUNCTIONS
- Oversees the fleet administration system by setting up, coding and trouble shooting the fleet system. Manages the daily input of data including actively working with the software program to manage and analyze data to ensure efficient operations and coordination of the City's fleet. Gathers, analyzes and provides reports based on data from the fleet management system.
- Coordinates the City's fuel system by setting up, configuring, and maintaining the fuel system and vehicle wash system access. Purchases fuel for the Service Center and monitors internal/external fuel usage for budget purposes and produces usage reports.
- Performs analysis, conducts inventories and makes recommendations on preventative maintenance standards to reflect manufacturer's requirements to maintain warranty coverage. Reviews vehicles and equipment for replacement and meets with departments to review needs and provide cost effective and environmentally conscious recommendations.
- Coordinates with Purchasing Division for contract service vendors and vehicle purchases and the process for vehicle/equipment disposal through City auctions. Ensures receipt of vehicles according to specifications including the installation of proper equipment and vehicle markings per city standards.
- Manages the fuel tank system and completes all State and local reporting requirements.
- Recommends improvements for customer service through the use of technology and recommends specifications and needs for diagnostic tools.
- Develops and designs reports required to support administrative decisions. Analyzes data and recommends action based on outcomes.
- Organizes and compiles information necessary to maintain record of fiscal paperwork processes and files documents in an easily retrievable format.
- Compiles information for vehicle and equipment auctions. Organizes with online auction site and positive customer service with public for payments and pick up.
JOB REQUIREMENTS
Education and Experience
Work requires broad knowledge in a general professional or technical field. Education and experience that provide the necessary knowledge and skills may also be considered, but a typical way to qualify is by obtaining:
Associates Degree plus four (4) years of fleet maintenance operation or
High School Diploma or equivalent plus eight (8) years of fleet maintenance operation
Associate's Degree in Automotive Technology or trade school preferred.
Conditions of Employment
Safe driving record and Valid Texas Driver’s License
Clear criminal background check and pre-employment drug screen
Texas Class A CDL or the ability to obtain within 12 months of hire
A/B Underground Storage Tank Certification or the ability to obtain within six months of hire
Hours/Work Schedule
This is a full-time non-exempt position with benefits.
Monday – Friday, 8:00 am – 5:00 pm.
Schedule may be modified if department needs arise.
May be required to work overtime if needed.
Physical Demands and Work Environment
This position is classified as sedentary and requires the physical ability to perform the essential functions of the role. Reasonable accommodations may be made to enable individuals to perform these functions. Typical physical demands include:
Occassional sitting, with primarily walking or standing to access files or office areas
Frequent walking, standing, bending, or reaching.
Lifting/carrying up to 20–25 lbs.

Work is primarily performed in an office setting, with occasional work outside the office during programs, meetings, or special events. The work environment characteristics described herein are representative of those an employee encounters while performing the essential functions of this job.
Skills, Knowledge and Abilities- Must have knowledge of methods, practices, and terminology used in automotive and equipment maintenance.

Knowledge of automotive tools, lubricants, parts, as well as service and repair of vehicles and equipment.
- Must possess the ability to troubleshoot hardware and software systems, advanced skill in analyzing and summarizing data for reports, extensive experience using a computer system and a variety of software programs (Word, Excel, Powerpoint).
