Overview

Under general supervision, the Police Services Clerk assigned to the Information Services Section performs a variety of specialized records management and criminal justice support functions. Responsibilities include maintaining confidential records; processing police reports, warrants, protective orders, insurance verifications, and stolen vehicle entries; conducting records checks; and providing customer service to members of the public, law enforcement personnel, and criminal justice agencies. This position requires knowledge of federal and state laws, departmental policies, and records management procedures. Successful candidates must demonstrate exceptional attention to detail, sound judgment, and the ability to manage multiple priorities while handling sensitive and confidential information.

The Information Services Section operates 24 hours a day, seven days a week. Police Services Clerks are designated as essential personnel and work a 40-hour schedule consisting of four 10-hour shifts. Assigned shifts may include days, evenings, overnights, weekends, and holidays based on operational needs. Overtime may be required when operationally necessary.

Candidates should demonstrate excellent attention to detail, sound judgment, and the ability to handle confidential and sensitive information with discretion.


Successful applicants will be team-oriented professionals who thrive in a fast-paced environment, effectively manage competing priorities, and remain composed under pressure. The ideal candidate will have strong written and oral communication skills, conflict-resolution abilities, and the ability to work independently with minimal supervision while maintaining a high degree of accuracy.


Candidates should be proficient in Microsoft Office applications, including Word, Excel, Outlook, and Teams, and possess strong organizational and problem-solving abilities. Experience working with records management systems, law enforcement databases, or other information management systems is highly desirable. Bilingual candidates are encouraged to apply.


The Opportunity – Examples of Work

Illustrative examples of Police Services Clerk responsibilities include, but are not limited to, the following:

  • Provides customer service and assistance to members of the public, law enforcement personnel, and criminal justice agencies in person, by telephone, and through electronic correspondence.
  • Processes, reviews, classifies, distributes, and maintains confidential police records and reports in accordance with federal, state, departmental, and Virginia Incident-Based Reporting requirements.
  • Reads, understands, and interprets court orders, warrants, detainers, protective orders, teletype messages, and applicable sections of the Code of Virginia.
  • Processes and validates warrants, protective orders, criminal summonses, capiases, and other court-related documents.
  • Conducts wanted and records checks through the Virginia Criminal Information Network (VCIN) and National Crime Information Center (NCIC) systems.
  • Performs records management functions, including legal records searches, insurance verifications, and dissemination of confidential documents in accordance with legal requirements.
  • Reviews and enters accident, offense, and related report information into local and state database systems.
  • Enters, updates, validates, and removes stolen vehicles, stolen property, missing persons, warrants, and other criminal justice information under strict entry criteria.
  • Assists law enforcement personnel and members of the public with accident reports, record checks, insurance verifications, and copies of eligible documents;
  • Performs related duties as assigned.

Minimum: High School Diploma or GED; at least three years of experience in office, inventory, records, or library work; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

Additional Requirements: Applicants must be willing to work flexible hours, including overnight hours. The successful candidate must complete Virginia Criminal Information Network (VCIN) training and receive certification within the first two weeks of employment.
  • Two or more years of customer service experience involving direct interaction with the public. 
  • Demonstrated ability to work effectively as part of a team while maintaining individual accountability. 
  • Strong conflict-resolution and de-escalation skills when dealing with difficult or upset individuals. 
  • Ability to multitask and prioritize workload in a fast-paced, deadline-driven environment. 
  • Sound judgment and decision-making skills, particularly when handling confidential or sensitive information. 
  • High proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams. 
  • Experience maintaining records, processing documents, or working in a criminal justice, public safety, legal, or government environment. 
  • Ability to work independently with minimal supervision while adapting to changing operational needs. 
  • Bilingual proficiency, particularly in Spanish or other languages commonly spoken within the Alexandria community, is a plus. 
  • Prior VCIN/NCIC certification or experience with law enforcement information systems is preferred.


Additional Requirements:

Candidates must be able to successfully complete VCIN training and certification within the first two (2) weeks of their employment.


The Virginia Criminal Information Network/National Crime Information Center requires basic terminal operators to be either a United States citizen or lawful resident of the United States and to be employed by a criminal justice agency before applying for certification.

Due to the confidential nature of this position, it requires the successful completion of pre-employment background checks. This includes: 

  • Polygraph 
  • Drug screen 
  • Medical examination 
  • Criminal background checks (Local and Federal)
  • Criminal Justice Information Services (CJIS) Security Awareness training and annual recertification
The Police Services Clerk-Information Services Section position is covered by the collective bargaining agreement with the Administrative and Technical CBA.

Salary : $56,151 - $78,105
