Definition

This is responsible administrative support work.

An employee in this class is responsible for performing a broad and varied range of administrative support activities individually or jointly with others.

Works independently under general direction in carrying out the duties and responsibilities of the job and in setting priorities and procedures for accomplishing the work.

Characteristic Work

Performs office administrative duties such as greeting visitors, taking messages, screening and routing telephone calls, answering routine questions, and providing information. Operates a variety of office equipment such as a personal computer with standard and customized business software, printers, photocopiers, fax machines, calculators and scanners. Composes, prepares and proofs a variety of office correspondence such as emails, letters, memos, facsimiles, timesheets, sick and vacation leave requests, ordinances, personnel requisitions and invoices. Examines, reconciles, codes and batches documents such as invoices, vouchers, purchase orders, receiving memos, checks, stubs, work orders, and other documents. Sets up and maintains records for various account activities. Processes daily mail by opening, sorting, distributing and attaching relevant files or information. Files, sorts and organizes documents and correspondence. Establishes and maintains a variety of manual and computerized file and database systems. Computes and compiles data from various documents for use in records and reports. Sorts, batches, proofs and reconciles various documents and reports. Records financial transactions and traces and corrects any discrepancies. Prepares reports using various records and files for source data. Calculates, verifies, documents, and completes payroll records. Monitors office supply inventory and initiates requisitions to procure supplies. Schedules routine maintenance and repair of office equipment. Performs mathematical computations for billing, discounts, material costs, labor costs, payroll, refunds, etc. Schedules appointments and makes arrangements for meetings and meeting locations. Maintains leave balances for groups of employees. May take or transcribe dictation or minutes of meetings. May complete travel forms and required documentation. Performs related work as required.

Minimum Qualifications

Graduation from an accredited high school or GED and a minimum of one year of paid experience in administrative support work.

Knowledge of business English usage, including spelling, punctuation and grammar. Knowledge of principles and processes for providing good customer service. Knowledge of standard office practices and procedures. Some knowledge of document format construction. Knowledge of the methods, procedures, and terminology of clerical accounting work.


Skill in establishing and maintaining effective working relationships with other persons. Skill in comparing, evaluating, and transcribing words and numbers. Skill in composing business letters and other documents using proper spelling, grammar, punctuation and formatting. Skill in the use of standard office equipment for purposes of communicating, duplicating, data entry and retrieval, calculating, and word processing. Skill in typing and data entry at rates and accuracy levels set at the time of examination. Skill in performing basic mathematical and percentage calculations. Skill in tracing account transactions through multiple steps. Skill in establishing and maintaining file and database systems. Ability to accurately perform clerical accounting activities through multiple steps. List of essential job functions available upon request.

Competitive Examination Process

This is a classified position.

The selection process will consist of a competitive examination with credit for education and experience. A passing score must be obtained on the competitive examination in order to receive credit for education and experience. TEST WEIGHTS: Competitive Examination 70%, Education 20%, Experience 10%.

Candidates must meet the qualifications and requirements listed in the announcement at the time of examination and at the time of appointment.

NOTE: The competitive examination may be suspended if shown to be impractical because of an insufficient number of qualified candidates. The candidates will then be ranked in a standard manner based on 70% for qualifying, 20% for education, and 10% for experience.

RESIDENCY: Candidates who have been resident citizens within the corporate limits of the City of Akron for at least one year immediately prior to the examination and who continue to reside within the corporate limits of the City of Akron throughout the remainder of the selection process will have 5 points added to their passing grades.

VETERANS: A veteran of the Armed Forces of the United States, honorably discharged from active duty, desiring a bonus of 5 points added to his/her passing grade, must submit proof of discharge in the form of a DD-214 with application.

Since this examination is posted on a combined basis, two separate eligibility lists will be generated with promotional candidates considered before open candidates.
