What are the responsibilities and job description for the Case Management Resource Coordinator position at City Net?
Position Overview: The Case Management Resource Coordinator is an operations-focused position. This role ensures efficient office operations and provides resources to program teams, including ordering supplies, assisting with technology, managing equipment, coordinating onboarding, overseeing vehicle maintenance, and ensuring safety compliance. Strong organizational and communication skills are essential for coordinating with departments and vendors to support smooth daily operations. The position will report to the Operations Manager.
Schedule and Work Environment: This is a full time position based out of Anaheim. The schedule will be during normal business hours (typically Monday-Friday 8:30 am-5:00 pm), with some evenings and weekends as necessary. This position requires frequent local travel within an assigned region. This is not a remote position.
Essential Functions:
Office Coordination/Maintenance

- Maintain inventory and document the location and/or staff assignment of office supplies, hardware, keys, business cards, marketing materials, and other assets, assigning and distributing them to staff
- Secure and maintain offsite storage facilities, as needed; assign and document the assignment of facility keys and access; organize and maintain inventory; assist in transporting materials between facilities
- Coordinate all office-related vendors, including but not limited to scheduling maintenance and repairs for office spaces (e.g. pest control, cleaning, plumbing, lighting, HVAC, etc.); and coordinating requests for certificates of insurance for contracts in assigned region
Administrative Support
- Provide general administrative support to Programs Staff
- Maintain all outreach and field team supplies, including uniforms, gift cards, snack packs, water, and other essential items
- Coordinate maintenance for company vehicles per the maintenance schedule and as needed
- Maintain and renew business licenses and Certificates of Insurance (COI) for all contracts in assigned region
- Assist with onboarding and offboarding of employees, which may include but is not limited to ensuring the timely completion of all new hire paperwork, orienting new staff to the organization’s major systems, culture, and expectations, adding and removing employees from the organization’s online systems, etc.
Technology Support
- Order and set up new devices (e.g. iPhones, laptops, tablets) and accounts (e.g. Outlook, SharePoint, Teams, Google Voice, etc.), reset returned devices and accounts to be reassigned to new staff
- Troubleshoot technology concerns, escalating cases to third-party IT support as needed
- Coordinate equipment maintenance, repair, etc.
- Decommission non-functioning technology
Other
- Maintain clear, thorough, and accurate communication on all tasks, including communicating about any challenges being faced
- Systematically, frequently, and consistently collect data on all assigned projects; compile data into thorough, accurate, and clear reports; present the reports as requested
- In all activities, comply with all contracts, funder requirements, and City Net procedures and policies.
- Meet or exceed all goals and requirements established for this position
Position Requirements:
- High School Diploma or equivalent
- Employed or Volunteer experience relevant to the Essential Functions above. Most importantly, experience with office, supply, and asset coordination; customer service and vendor communication; multi-team coordination and communication; and technology (iPhones, computers, tablets) set-up, troubleshooting, and support
- Eligibility to drive company vehicles. For insurance purposes, drivers must be at least 21 years of age, have a valid CA Drivers License, and must pass a Motor Vehicle Report
Physical Demands:
- Must be able to inspect paper and electronic documents and accurately communicate their contents and connotations to various audiences
- This is an active position requiring frequent physical movement in office and field locations (e.g., local shelters, parks, parking lots, warehouses, etc.). Must be able to move oneself quickly when necessary
- Must be able to remain in stationary position at least 1/3 of the time and traverse rough outdoor terrain at least 2/3 of the time
- Regularly moves about company locations and when needed will move furniture, equipment, and materials around offices, project sites, in and out of vehicles, etc.
- Must be able to lift, carry, move up to 50 pounds
- Frequent travel via car for local and regional company destinations
- Operate daily: computer, smart phone, and other office productivity devices and systems
- Must be able to maintain regular attendance and be punctual
