Job Summary:
The Leasing Resource Manager is responsible for coordinating daily leasing operations across the portfolio, including building and managing the daily leasing schedule, assigning team members to tours, phone coverage, and the CRM lead queue, and monitoring workload at each site through daily visits to ensure appropriate coverage. Based upon observed practices, the Leasing Resource Manager organizes training to address operational areas of opportunity. This role requires strong organizational and scheduling skills, sound judgment in redeploying staff in real time, and the ability to communicate clearly and consistently with leasing teams and Community Managers.
Duties/Responsibilities:
Daily Scheduling & Team Assignment
- Build and publish the daily leasing schedule, assigning coverage for property tours, phone response, and the CRM lead queue.
- Confirm the following day's schedule before leaving for the day, addressing any known gaps or changes in advance.
- Confirm the current day's schedule upon arrival each morning, adjusting for callouts, late arrivals, or other last-minute changes.
- Monitor CRM queue response times and phone coverage throughout the day, reassigning staff as needed to maintain service levels.
Site Visits & Workload Management
- Visit each site once in the morning and once in the afternoon to gauge leasing team workload, tour volume, and coverage needs.
- Redeploy leasing staff between sites in real time based on workload, traffic, and staffing gaps observed during site visits.
- Identify and resolve bottlenecks in tour coverage, phone response, or CRM follow-up during daily rounds.
- Communicate schedule changes and staffing adjustments to affected team members and Community Managers.
- Utilize site visit observations to guide planned training topics in collaboration with Community Managers
Timekeeping & PTO Administration
- Review and approve leasing team timecards for accuracy and consistency with scheduled coverage.
- Review and approve leasing team PTO requests, balancing time-off approvals against staffing coverage needs across the portfolio.
- Maintain records of daily schedules, coverage assignments, staffing adjustments, and attendance policy records.
General
- Performs any additional duties or tasks as assigned.
- Ensures the conduct of all business is in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
Required Skills/Abilities:
- Strong organizational and scheduling skills, with the ability to manage staffing across multiple sites.
- Sound judgment and quick decision-making in reassigning staff based on real-time workload.
- Ability to work independently and lead team environments.
- Works well under pressure and deadline oriented.
- Proficient in Microsoft Office, email, CRM, and property management software (Yardi or similar).
- Ability to provide executive level summary reports on leasing performance and staffing coverage.
- A focus on operational efficiency and consistent, dependable coverage.
- Ability to travel daily between multiple sites within the portfolio.
- Ability to communicate effectively in person, by telephone, video conference, and in writing.
- Prolonged periods of working at a computer and using standard office equipment
- Ability to review, prepare, and maintain paper and electronic records with attention to detail.

Required Experience:
- Prior experience in leasing, leasing management, or multi-site property management leadership.
- Prior supervisory or team lead experience preferred.
- Yardi or similar property management software and CRM experience preferred.
- Valid driver's license required for daily travel between sites.
- High school diploma or GED required.
- 5 years of relevant experience preferred.
Hours/Pay:
- Minimum 40 hours per week. Schedule requires early morning and afternoon on-site coverage across multiple properties, with occasional evening or weekend flexibility based on leasing activity.
- Availability on Saturdays required.
- Availability before and after leasing shifts.
