About the Role
The Patient Service Representative serves as a critical point of contact between patients and the practice, managing appointment scheduling across doctors, specialists, and diagnostic services while ensuring a professional and welcoming experience for every caller. This role requires strong judgment in triaging calls, accurately capturing patient demographic information, and guiding patients toward appropriate scheduling options. Beyond day-to-day scheduling, the Patient Service Representative maintains accurate records and reports, facilitates communication across departments and office locations, and keeps patients informed about their status and care through both phone and email correspondence. Success in this role depends on professionalism, attention to detail, and the ability to manage a high volume of patient interactions with efficiency and care.
Job Duties
- Schedule and confirm appointments for doctors, specialists, and diagnostic.
- Answer telephone promptly and in a polite and professional manner.
- Obtain and enter accurate demographic information into patients account.
- Ability to effectively triage calls to ensure appropriate scheduling.
- Use judgment in handling calls to advise patients on best office and times to make appointments.
- Generate reports, maintain logs, and track patient visits.
- Facilitate communication between departments/offices.
- Communicating with patients about their status and condition through emails and phone.
Qualifications
- Familiar with Gmail
- Proficient in Google Sheets, Microsoft Excel/Word/PowerPoint
- Strong attention to detail and accuracy in record-keeping
- Previous experience in a medical office, hospital, or healthcare setting (preferred)
- Excellent phone etiquette and customer service skills
- Able to meet deadlines
