The Project Coordinator serves as a key support resource within the Systems Integration Group (SIG), assisting the Project Manager in executing projects from conceptualization through system acceptance. While not the primary project lead, this role plays an integral part in technical coordination, documentation, procurement support, and project execution.
This role works closely with Project Managers, Sales, Vendors, Accounting, and Operations teams to help ensure projects stay organized, on schedule, and properly documented from project kickoff through closeout.

Key Responsibilities
Project Coordination
- Support the Project Manager during project induction and proposal phases by assisting with technical coordination and preliminary solution development.
- Maintain organized project files, schedules, documentation, and customer records.
- Track project action items, submittals, manuals, closeout documents, and deliverables.
- Assist with project startup, customer communication, and closeout activities.
- Coordinate internal meetings and follow up on open items.
- Request vendor quotes and assist with purchasing activities.
- Coordinate purchase orders, deliveries, freight, and shipment tracking.
- Communicate with vendors regarding lead times, schedules, and project needs.
- Help resolve delivery discrepancies and documentation issues.
- Assist with project documentation, layouts, and AutoCAD markups.
- Maintain accurate project records and communication logs.
- Support preparation of reports, schedules, and customer documentation.
- Organize and distribute project-related information across departments.
- Work closely with Project Managers, Sales, Engineering, Accounting, and Operations teams.
- Communicate professionally with customers, vendors, and internal stakeholders.
- Contribute to a positive, organized, and team-oriented work environment.
- Proficiency in AutoCAD and general business software required.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and follow-through.
- Professional attitude with strong customer service skills.
- Experience in project coordination, construction, manufacturing, or material handling environments.
- Engineering, construction management, or technical degree preferred (not required)
- Experience with purchasing, vendor coordination, or logistics.
