Job Description
The Event F&B Vendor Operations Assistant provides hands-on operational support during small, medium, to large-scale events by assisting the Vendor Program Manager with real-time execution needs. This role functions as an on-the-ground extension of the Vendor Program Manager, helping ensure vendors receive timely support when multiple priorities occur simultaneously across the venue.
This is an event-based, hourly role designed to improve responsiveness, efficiency, and execution during high-volume event days while maintaining a single point of strategic decision-making.

The Event F&B Vendor Operations Assistant provides hands-on operational support during small, medium, to large-scale events by assisting the Vendor Program Manager with real-time execution needs. This role functions as an on-the-ground extension of the Vendor Program Manager, helping ensure vendors receive timely support when multiple priorities occur simultaneously across the venue.

Requirements & Essential Functions:
Event-Day Support
- Execute real-time tasks as assigned (e.g., POS delivery, vendor placement assistance, beverage distribution, etc.)
- Act as an on-site extension of the Vendor Program Manager, serving as eyes and ears in other areas of the venue.
- Assist vendors with straightforward needs such as access issues, basic troubleshooting, or equipment requests.
- Support compressed load-in windows by assisting with vendor arrivals.
- Relay accurate information between vendors and the Vendor Program Manager.
- Assist with event preparation 1–2 days prior to events (approximately 6–8 hours per day).
- Support setup logistics related to vendor placement, equipment staging, and beverage distribution as directed.
- Strong interpersonal skills; can effectively communicate and relate to all levels within and outside the organization; create and build positive and productive relationships.
- Drives the team and the organization for results in order to improve bottom line performance; able to make timely or planned decisions appropriate to the circumstances or situation.
- Responds quickly and effectively to changing trends and circumstances; embraces change and welcomes fresh perspectives; learns from past mistakes and adjusts accordingly.
- Can be trusted to act in a manner that is truthful and values direct, honest communication at all levels of the organization.
- Prior experience in events, hospitality, food & beverage, or operational support roles preferred.
- Ability to take direction clearly and execute tasks efficiently with minimal supervision.
- Strong communication skills and attention to detail when relaying information.
- Comfortable working in fast-paced, dynamic environments.
- Physically able to walk long distances, stand for extended periods, and lift/move equipment as needed.
- Flexible availability, including early mornings, evenings, weekends, and event days.
- Strong judgment on when to troubleshoot independently versus escalate issues.
- Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms.
- Ability to lift and/ or move up to 25 pounds.
- Ability to squat, bend, twist, push/pull.
- Ability to stand/walk for long periods.
- Work in extreme environments outdoors throughout the year.
- The noise level in the work environment is usually moderate but can be loud during events.
