Job Summary
Circle Square Foundation is seeking a multi-skilled and highly organized experienced Executive Assistant, Senior to join our team. This role is essential in providing various advanced, diversified, confidential and moderately complex administrative support for Circle Square Foundation.
Responsibilities
- Serves as the full-time onsite office presence, greeting visitors, responding to routine inquiries, and directing messages to the appropriate staff. Provides administrative support to Foundation staff, including meeting coordination, scheduling, managing and distrubting mail to the appropriate department and managing office correspondence, while assisting with additional tasks as needed to ensure smooth day-to-day operations.
- Provides administrative support to special boards, prepares meeting agendas, photocopys and/or assembles back-up documentation, prepares agenda items, schedules applicable meetings, and assist with the transcription of meeting minutes.
- Supports Foundation staff with procurement requests to include obtaining quotes, purchasing goods and services, ordering office supplies to maintain inventory and validating vendor credentials.
- Assists with interpreting administrative and operational policies, guidelines and procedures; assists in the proofing and distribution of documents; organizes and maintains electronic business document management and confidentiality of sensitive information and maintains information for reports and department work processes.
- Provides administrative assistance with various human resources tasks to include submission of payroll, employee personnel files management, conducting background checks, employee onboarding/offboarding, and employee recognition initiatives.
Qualifications
- A high school diploma and two (2) years of administrative experience, or an equivalent combination of training and experience which provide the required knowledge, skills, and abilities.
- Experience with non-profit or public sector organizations preferred.

- Strong knowledge of administration, organization, policies, practices, and programs.
- Strong ability to ethically manage sensitive and confidential information is required.
- Strong problem solving skills to assess and resolve problems or issues by gathering and assessing information, taking advice, and using judgment that is consistent with standards, practices, policies, procedures, regulations or law.
- Strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility.
- Strong written and oral communication skills as demonstrated by the ability to articulate complex information and issues clearly and concisely.
- Strong interpersonal skills as demonstrated by the ability to interact collaboratively and productively and to build effective relationships with individuals of diverse backgrounds, including staff employees and members of the general public.
- Demonstrated knowledge of personal computers and related departmental software, including but not limited to, Excel, Word, PowerPoint and Access.
