Position Overview
We are seeking a dependable, detail-oriented Administrative & Guest Services Coordinator to support daily ranch operations. This role combines administrative responsibilities with hospitality-focused guest interaction and light facilities coordination.
You’ll be a key point of contact for guests, vendors, and internal operations—helping ensure the ranch runs smoothly while delivering a warm, professional experience.
Key Responsibilities
Guest Services & Hospitality
- Greet and welcome guests upon arrival with a friendly, professional demeanor
- Assist with guest check-ins, directions, and general inquiries
- Maintain a polished and inviting guest-facing environment
Administrative Support
- Handle phone calls, emails, and general correspondence
- Assist the Front Office Manager with daily operations
- Support inventory tracking and ordering for office and retail items
- Help manage scheduling and basic recordkeeping
Retail & Gift Shop
- Oversee daily operations of the ranch gift shop
- Restock merchandise and maintain visual presentation
- Process transactions and assist guests with purchases
Facilities & Operations
- Help maintain cleanliness and organization of guest areas and ranch house
- Assist with restocking supplies and light upkeep tasks
- Coordinate with maintenance as needed
Vendor Coordination
- Communicate with and coordinate service vendors such as:
- Farriers
- Landscapers
- Feed suppliers
- Trash and service providers
- Track schedules and ensure timely service completion
Qualifications
- Previous experience in administrative, hospitality, or customer service roles preferred
- Strong communication and interpersonal skills
- Highly organized with attention to detail
- Comfortable multitasking in a dynamic environment
- Positive, team-oriented attitude with a willingness to help where needed
- Basic computer skills (email, scheduling, spreadsheets)
- Ability to be on your feet and assist with light physical tasks
